Position Overview
Reports to the Chief Commercial and Operations Officer, supporting this role in addition to providing support to the Chief Marketing Officer. This role offers an opportunity to lead and manage the smooth operations of our Chicago based offices and ensure a seamless and efficient work environment. The ideal candidate is organized, proactive, and passionate about fostering a positive office culture. This position requires a blend of administrative expertise, technical proficiency, and capable of managing multiple tasks in a dynamic environment.
This hybrid position is primarily based at our Chicago office, with a required on-site presence of at least three days per week. You also have the flexibility to work from our Deerfield office. Attendance at either location may be required on specific days to attend important company events.
Key Responsibilities
- Dual support to the Chief Commercial and Operations Office and Chief Marketing Officer
- Oversee and manage relationships with external vendors. Serve as the point of contact between company and property management and other third-party companies
- Calendar management
- Manage expenses, which includes PO submissions for outstanding invoices
- Efficiently execute daily administrative tasks: monitoring and responding to emails; inventory management of office supplies and other miscellaneous equipment; assist with IT troubleshooting of company equipment, booking conference rooms; oversee all outgoing and incoming shipments
- Put the employee experience at the forefront of key projects and office policies and procedures
- Operate and maintain operational facilities in a manner compliant with the company's policies and statutory health and safety policies, facility regulations and procedures
- Assist with HR operations, which includes new hire onboarding and offboarding processes
- Support all events that should be scheduled onsite or offsite, including calendar reservations and room booking along with catering and other miscellaneous supplies
- Coordination of logistics for workshops and events (partners, influencers, dermatologists)
- Coordination of presentations from multiple sources
- Collaborate with other Office Managers or EA from the global, UK-based team
- Other supplementary responsibilities and tasks as required
A bit about you
5+ years of experience related to business administration, or a related field preferred. Experience in facilities management is a plus but not required
College degree or higher
Strong knowledge of building systems, maintenance practices, and safety regulations.
Excellent organizational and critical thinking skills with the ability to prioritize tasks effectively
Effective communication and people skills with the ability to interact with employees at all levels including C-Suite.
Proficiency in Microsoft Office Suite, specifically high proficiency in Excel and PowerPoint
Experience in facilities management software a plus
Ability to work independently and collaboratively in a demanding environment
