Summary/Objective

The best registration specialists are multi-functional, positive, organized and team players. They must become an expert in and handle all aspects of an event registration, conduct themselves with professionalism and provide excellent service to our internal and external customers.

How you succeed:

  • First, learn the ins and outs of our organization.
  • Quickly learn the systems and applications required for the job.
  • Communicate clearly and in a timely manner with all necessary parties.
  • Be detail oriented in all that you do and meet deadlines.
  • Be patient and helpful guiding customers through registration and payment processes in a fast-paced environment.
  • Maintain security and confidentiality of customer information.
  • Be ready to step in and assist other departments when needed - Teamwork
Job Responsibilities:
  • Respond to emails in a timely manner and/or as required for deadlines.
  • Travel to competitions / events as assigned.
  • Work closely with appropriate departments on all aspects of the event registration, including but not limited to providing updates for enrollments, team division changes, cancellations, outstanding balances, etc.
  • Data entry of registration details (payments, housing assignments, etc.) for specific championships, special events and/or camps, as assigned.
  • Confirm details, such as dates, enrollment, and shipping address for Home Camps and other camps/events as assigned.
  • Process daily mail (checks, purchase orders, etc.)
  • Close out events, including but not limited to attendance reconciliation, sending invoices, issue refunds, handling chargebacks and payment disputes, etc.
  • Book hotels for seasonal staff for camps/clinics
  • Apply payments to accounts, enforce payment policies and audit account balances.
Knowledge, Skills, Abilities:
  • Excellent verbal and written communication skills.
  • Ability to multi-task.
  • Strong organizational skills and attention to detail.
  • Enthusiasm and positive energy are an absolute must. You can stay positive after a long day of emails, data entry and phone calls, understanding that a team culture is built on the attitude of every member.
  • Experience with Salesforce or the ability to become proficient rapidly.
  • Willing to work overtime and weekends when necessary.
  • Knowledge of cheerleading and/or dance a plus.

Physical Demands and/or Work Environment

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While not participating in an event this job operates in a professional office environment. Largely a sedentary role with some filing requiring the ability to lift files, open filing cabinets and bending or standing on a stool, as necessary. The ability to sit or stand for extended periods through meetings and while operating office equipment, PC's, laptop, telephone will be required.

During events, standing and walking for extended periods of time (5 hours plus) is required. The ability to communicate with customers and colleagues using the following but not limited to radio, walkie talkie, text message and email is required. The ability to lift, bend, push, pull and manipulate equipment at least 30 lbs. is required.

Travel
  • Extensive travel to events.
Education, Certification and Experience
  • High school diploma required.
  • Bachelor's degree preferred.
  • Experience in cheerleading, dance, or band industry a plus.
