Assumes the responsibility of assisting the Department by performing special and general office duties, answering phones, scheduling appointments/meetings, preparing documents, generating various monthly reports, filing and/or scanning of documents, coordinating events and projects, and other related administrative responsibilities. May give direction and training to other support staff in the department. Reports to department director or above.

General Job / Performance Information

Education and Experience
High school diploma or equivalent required.
Two years of administrative assistant experience supporting a department director or above preferred.

Environmental / Working Conditions
This position is subject to inside environmental conditions: protection from weather, but not necessarily temperature changes. May be required to attend events with outside conditions.

Interaction with Other Departments and Other Relationships
Requires close interaction with other departments within UMC. Requires interaction with various vendors or providers of services to UMC. May have interaction with patients, visitors, or other members of the community.

Job Description
Assumes the responsibility of assisting the Department by performing special and general office duties, answering phones, scheduling appointments/meetings, preparing documents, generating various monthly reports, filing and/or scanning of documents, coordinating events and projects, and other related administrative responsibilities. May give direction and training to other support staff in the department. Reports to department director or above.

Physical Capabilities
Typically has prolonged periods of sitting at a desk and working on a computer. Must be able to hear to answer phones and assist visitors. Must be able to give attention to details near visual acuity required. Hours may occasionally be irregular to accommodate department needs. Must be able to work common office equipment such as computers, printers, fax machines. Must be able to navigate through the building independently. Must be able to lift basic office supplies, filing, etc., typically not exceeding 15 lbs.

Skills and Abilities
• Excellent organizational skills and attention to detail.

• Extensive knowledge of office management systems and procedures.

• Ability to operate general office equipment.

• Excellent written and verbal communication skills.

• Proficient in Microsoft Office Suite or similar software.

• Ability to maintain confidential information.

• Ability to handle problems, interruptions, and other stressful situations in a professional manner.

• Maintains up-to-date knowledge and adheres to department and UMC Policies & Procedures.
