St. Therese Catholic Academy (STCA) is a Preschool-8th Grade Catholic school in the heart of the Madrona neighborhood of Seattle, just 2 miles east of downtown. STCA is a welcoming, diverse, and faith-filled community that has been igniting the faith, minds & dreams of its students since 1927. The school currently serves nearly 200 students ages 3-14, 33% of whom qualify for free/reduced lunch, and over 60% receive tuition assistance in order to make the school accessible. The staff has around 35 team members. We have grown annually the past decade and are near capacity for our 97th school year. We are one of the most diverse (racially, ethnically, religiously, economically, geographically) Catholic schools in the region. We are a small community with a family feel. This Office Manager role will be vital to our operation in the year(s) ahead as we embrace a new shared leadership model. Job Description and Expectations
  • Manage front office/desk area responding to daily routines, procedures and needs as they arise
  • Greet and respond to all school visitors and phone calls with warmth and welcome
  • Desire to work in a racially and economically diverse, faith-centered community
  • Manage student records and assist with communications regarding student records, high school applications, tuition collection, family financial accounts, and other essential operational items
  • Collaborate with administration in establishing and maintaining streamlined systems for effective operations of the school
  • Assist administration with annual and state reports
  • Monitor school website and social media accounts and update in collaboration with Director of Advancement
  • Monitor and track Safe Environment compliance online
  • Manage online databases for volunteer hours, admissions, and donations/fundraising
  • Lead communication efforts in admissions inquiries and follow-up
  • Collaborate with staff and business office for purchase requests and supply orders
  • Model school core values and root beliefs for students and parents at all times
  • Other duties as assigned by the principal/vice principal
Essential Skills and Requirements:
  • Strong professional and interpersonal communication skills with cultural competence and awareness and appreciation of cultural differences
  • Strict adherence to confidentiality
  • Strong organization skills and collaboration skills
  • Technology skills: Advanced computer and Google G Suite skills; readiness to learn various databases for various functions
  • Knowledge of FACTS SIS or another SIS is preferred but not required (readiness to learn and master - help others learn - various databases)
  • Understanding and genuine appreciation of children
  • Preferred active Catholic
The school office manager must be extremely adept at using computers, particularly G Suite by Google and databases. It is imperative that they are extremely organized and able to multitask because they deal with many different aspects of the job simultaneously - the school office is often a highly stressful environment, so the ability to adapt and adjust on the fly is essential.

Report Time:
  • SUMMER: Monday-Friday 9:00am-3:00pm (mid-June-mid-August with vacation time)
  • SCHOOL YEAR: Monday-Friday 7:45am-4:15pm (September-June)
  • SCHOOL BREAKS: Vacation/Project Pay Available


Compensation: $21-23/hour Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, degrees, and certifications.A comprehensive package of benefits is offered including two medical plan options, dental, vision, life, accidental death and disability, long term disability, pension, 403(b), HSA, FSA, and generous sick leave, vacation, and holidays.
