Skillset / Experience:
As a Business Process Documentation Specialist, you will be responsible for creating, managing, and maintaining comprehensive documentation related to business processes, procedures, and workflows. This role ensures that all processes are clearly outlined with standardized documentation, and easily accessible to stakeholders. The goal is to provide accurate, up-to-date documentation that can be used for compliance and process improvement.

Documenting Business Processes:
  • Work closely with subject matter experts (SMEs) to document detailed descriptions of business processes and procedures
  • Create or aggregate and update flowcharts, process maps, standard operating procedures (SOPs), work instructions, checklists, and guidelines
  • Ensure that processes are accurately documented, easy to understand, and consistently documented
Standardization & Maintenance of Documentation:
  • Develop templates and standards for process documentation to ensure uniformity
  • Review and update existing process documentation to reflect changes in processes, tools, regulations, or best practices
  • Work with teams to incorporate feedback and ensure that documentation stays relevant and accurate
Ensuring Compliance:
  • Ensure that process documentation aligns with legal, regulatory, and industry standards
  • Maintain audit trails and document changes in compliance with industry requirements
Facilitating Knowledge Sharing:
  • Organize and manage a central repository for all process documentation, making it easily accessible to stakeholders
  • Provide guidance to stakeholders for how to access and use the process documentation effectively
Collaborating with Teams:
  • Collaborate with business SME's, business analysts, technical SME's, and other stakeholders to ensure that process documentation accurately reflects current practices
  • Assist in process improvement initiatives by identifying areas where documentation can support efficiency or quality improvements
Common Skills and Tools:
  • Ability to clearly articulate complex processes and procedures in simple, understandable terms
  • Accuracy is critical to ensure that the documentation reflects the correct processes and procedures
  • Proficient in writing, editing, and structuring documentation in a way that is easy to follow
  • Familiarity with tools like Microsoft Visio and Lucidchart
  • Knowledge of how to use SharePoint as a document repository for organizing and managing documentation
  • Understanding of industry-specific standards and regulations that impact process documentation
  • The ability to manage multiple documentation efforts simultaneously and meet deadlines
Preferred Skills:
  • Certification in Technical Writing or similar (Society for Technical Communication, Microsoft Certified Technical Specialist, etc.)
  • Background the finance industry with automotive finance preferred
Leadership Skills:
  • Effective problem-solving involves analyzing situations, brainstorming solutions, and implementing effective strategies quickly and efficiently.
