Role Overview

The Senior Domestic Logistics Coordinator will support daily logistics operations, manage relationships with transportation providers, and handle orders creation for logistics. The role is based in a highly sensitive, fast-paced environment, demanding flexibility, and accuracy, while in compliance with International/Federal/State regulations.

Primary Duties & Responsibilities

  • Responsible for managing the execution of the Global supply plan.
  • Ensure good understanding of export and import policies, procedures, methods, and practices to facilitate better implementation of company objectives focusing primarily on the Import and domestic shipments such as movement of bulk, finish good, launches, clinical or stability studies sample.
  • Coordinate with external authorities to deal with logistics issues as needed, for example, Customs and FDA.
  • Ensure all fees are timely paid to have a smooth pick up at port and airports.
  • Collaborate with QA counterparts to ensure audit readiness and process control for all import and export activities, participate in logistics audits as needed.
  • Facilitate and coordinate with courier and depot vendors on all aspects of service, including pre-conditioned shipping containers/materials, temperature data loggers, pick up appointments, expedited orders, and emergency delivery situations, etc.
  • Coordinate transportation capacity and execute the split ensuring distribution plans and intermodal strategies when shipments arrive to US.
  • Lead day to day relationships with carriers, logistics managers at the manufacturing sites internal and external and manage overall carrier performance.
  • Identify opportunities to optimize costs and deliver/exceed against budget targets (optimizing numbers of pallets per truck).
  • Coordinate appointments and communication with 3PL for all in-bounds and shipments to direct customers providing all documentation needed for the receiving and align rest of multidepartment activities (FDA May release, certificates, Control Temp Data loggers, Serialization data.
  • Reviewing and ensuring all documentation contains the right information (packaging list, BOL's).
  • Prepare and deliver weekly reports to Senior decision makers.
  • Creating export and import documentation in support of movement of drug Control substance, drug products, and finished goods.
  • Providing timely status updates on domestic shipments.
  • Coordinating internally with finance and business partners, freight forwarders, and 3PLs for timely and accurate shipment releases and deliveries.
  • Working with carriers to schedule shipments, track shipment status, and provide timely PODs.
  • Participating in Freight forwarders evaluations and business reviews.
  • Supporting Logistics with daily operational activities.
  • Performing monthly analysis of shipping data and reporting to management.
  • Performing trending analysis and own related reports, identifying necessary corrective actions, and driving implementation.
  • Lead order creation for Logistics partners (Brokers, counterparts, Freight forward) and responsible logistic invoices received to ensure good partnership and strong financial internal process.

Requirements and personal skills
  • Education: Bachelor's Degree
  • Languages: English, Spanish is a plus
  • Experience (years/area): 4+ years managing logistics.
  • Proficient: Pharmaceuticals or life sciences experience a plus.
  • Specific Knowledge: Excel, Microsoft Office, experience with inventory systems, ERP systems (SAP), basic mathematical skills. Proven written and verbal communication skills and the ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, import and export process in inventory management.

Physical Demands

This job operates remotely in a professional environment. This role routinely uses standard office equipment such as computers, phones, printers, etc.

Position Type and Expected Hours of Work: This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5 p.m.
