Job Summary:
We are seeking a highly organized and personable Front Desk Receptionist and Office Administrator to join our team. This role is crucial in providing excellent administrative support to our office and two executives. The ideal candidate will be responsible for managing the front desk, answering phones, distributing mail, and handling a variety of administrative tasks to ensure the smooth operation of our office.

Key Responsibilities:
  • Front Desk Management:
    • Greet visitors and clients with a professional and friendly demeanor.
    • Answer and direct phone calls to the appropriate personnel or department.
    • Manage and maintain the reception area to ensure it is clean, organized, and welcoming.
  • Administrative Support:
    • Provide general administrative support to two executives, including scheduling meetings, managing calendars, and preparing documents.
    • Assist with organizing and coordinating office events, meetings, and appointments.
    • Handle incoming and outgoing mail, ensuring timely distribution to appropriate recipients.
    • Prepare and edit correspondence, reports, and other documents as needed.
  • Office Management:
    • Maintain office supplies inventory by checking stock and placing orders as necessary.
    • Coordinate with building management for office maintenance and repairs.
    • Assist in managing office facilities, including liaising with vendors and service providers.
    • Support the onboarding process for new employees by preparing workspaces and coordinating with IT.
Qualifications:
  • Proven experience as a receptionist, office administrator, or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent communication skills, both written and verbal.
  • Strong organizational and multitasking abilities.
  • Ability to maintain a high level of professionalism and confidentiality.
  • Friendly and approachable personality with a customer service mindset.
  • High school diploma or equivalent; additional qualifications as an Office Administrator or Secretary are a plus.
