KEY RESPONSIBILITIES: Reviews time cards for accuracy and validates payroll time against schedules. Notifies department supervisors of any missed time clock punches for their staff and tracks timely correction of missed punches. Monitors timecards for employee missed or late meals. Ensures missed meal penalties are correctly applied per state law. Educates department supervisors and/or employees on rules for missed/late meals to avoid future violations and penalties. Monitors timecards for accurate use of timeclock punches vs. manual punches added by manager. Educates department supervisors and/or employees on rules for using the timeclock to avoid future manual entries. Runs periodic reports detailing staffing vs. patient census ratios, overtime, double time, and missed meals. Helps identify problem areas and track improvements. Monitors contract employee timecards to ensure efficient use of contract staff. Identifies any issues with overtime/double time or call-offs for contract staff. Reviews invoices from contract staff agencies for accuracy and codes to correct departments. Monitors attendance records including absenteeism, tardiness, and call-offs. Acts as backup to Accounting Specialists for AP and Payroll Processing duties. Performs related duties as requested. Upholds the Organization's ethics and customer service standards. POSITION REQUIREMENTS: Knowledge and Experience: High School diploma or equivalent required; Bachelor’s degree preferred. 2 years healthcare experience in accounting and/or payroll highly desired. General knowledge of Federal and State employment and wage laws. ADP, UKG Payroll system and Doc Link experience helpful. Experience with managing complex and detailed records. Health care industry preferred. Expert level Microsoft Excel required. Skills and Abilities: Maintains confidentiality of patients at all times. Sensitivity to and willingness to interact with persons of various social, cultural, economic and educational backgrounds. Proficiency with software and/or equipment (Microsoft Office applications including Outlook, Word, Excel and PowerPoint). Strong organizational skills with ability to prioritize projects, work relatively independently, manage multiple tasks, and meet deadlines. Strong written and verbal communication skills. Ability to work independently and as part of a team. Good judgment, problem solving and decision-making skills. Demonstrated commitment to working collaboratively as well as possessing the skills to lead, influence, and motivate others. Ability to work in a fast-paced, expanding organization. Physical Requirements: While performing the duties of this job, this position is frequently required to do the following: Use standard office equipment and access, input, and retrieve information from a computer. Use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time. Perform complex mental functions and basic arithmetic functions; interpret complex laws, regulations, and policies; collect, interpret, and/or analyze complex data and information. Sit or stand for minimum periods of one hour at a time and come and go from the work area repeatedly throughout the day. Lift up to five (5) pounds.
