The Patient Access Scheduler II is a first line representative of Imaging Services, provides assistance for the proper functioning of the department including processing of new orders, image management, report distribution, scheduling of all Radiology procedures and examinations, utilizes all computer systems relevant to job duties, interacts with patients, physicians, customers and all other persons who present to Radiology.

This position is responsible for coordinating communication activities between radiologists, radiology staff and other departments, nursing personnel and other caregivers, patients, visitors and other customers.It is accountable for maintenance of patient records that apply to the Radiology department and order entry of scheduled or walk in patients. Record maintenance includes but is not limited to uploading patient medical records to PACS, downloading patient medical records for check out or sends out to other facilities, sending radiology reports to the patient or physician's offices as requested and appropriate.

In addition, performs Radiology Scheduling for all Radiology procedures and exams utilizing all computer and telephone systems necessary for this function.

This position requires the full understanding and active participation in fulfilling the mission of Saddleback Memorial Medical Center.It is expected that the employee demonstrate behavior consistent with the core values.The employee shall support Saddleback Memorial Medical Center's strategic plan and the goals and direction of the performance improvement plan.The employee will also be expected to support all organizational expectations including, but not limited to: Customer Service, Patient's Rights, Confidentiality of Information, Environment of Care and MemorialCare initiatives.

Essential Job Outcome

1. Maintains Service Excellence with patients, visitors, and other staff members. Maintains a neat, organized work environment according to specific work related supplies and reference material locations. Collects and compiles accurate information for hospital records and for timely reimbursement. Coordinates scheduling to insure proper time, personnel and location.

2. Registers, verifies and updates patient information in Epic in a timely and accurate manner. Evaluates incoming information received (either by FAX, mail, courier, patient or other customers) and properly distributes or acts upon the information received in a timely and efficient manner. When processing orders, follows up for incomplete orders, unclear orders or doctor's request to call patient. Follows up on orders not scheduled to increase revenue, prioritizes job functions to increase productivity and provide better service for all customers.

3. Provides verbal or written instructions and education for patient or significant others as needed and as appropriate. Able to answer exam related questions or seeks help as needed.

Follows policies to insure patient's medical record is corrected by responsible personnel. Insures HIPAA compliance on every patient by identifying patient charts with 2 patient identifiers prior to proceeding with output of information.

4. Updates patients waiting for exams, calls modality as needed. Takes messages with accuracy, documenting according to department protocol.

5. Collects and posts patient payments; including deposits, co-pays, deductibles and/or co-insurance accurately. Documents pertinent information in the referral/auth cert/hospital account note fields. Maintains effective patient flow when placing same day patient orders, inputs orders correctly according to the prescription and does so in an efficient and timely manner. Utilize RTE and health plan websites to obtain accurate eligibility and benefit information.

6. Attends meetings as required. Responds appropriately and promptly to department/management and customer requests for information or other actions.

7. Answers phone expediently using department specific phone etiquette, helps patients with requests or other information to order as needed. Demonstrates excellent communication skills in person and over the phone.

8. Utilizes equipment appropriately for its intended use, takes measures to identify equipment that is in need of repair or broken, following department specific protocols for calling service and documenting such calls.

9. Performs other duties as assigned. Clocks 'in' and "out" of MTM accurately with minimal errors for each scheduled shift.

Qualifications

Experience

•One year experience in Radiation Oncology or scheduling associated experience preferred.

•Knowledge of medical terminology or Radiation Oncology procedures preferred.

•Proficient in computer functions, data entry and windows platform required.

Education/Licenses/Certificate

•High School graduate or equivalent preferred
