Front Desk Representative

Job Summary: We are seeking a personable and organized Front Desk Representative to be the first point of contact for our company. The ideal candidate will be responsible for greeting visitors, handling incoming calls, managing appointments, and ensuring that the reception area is well-maintained. This role requires excellent communication skills, a positive attitude, and the ability to manage multiple tasks effectively in a fast-paced environment.
Key Responsibilities:
- Greet and welcome visitors, providing them with appropriate information or directing them to the correct departments.
- Answer, screen, and forward incoming phone calls in a professional and courteous manner.
- Manage appointments, meetings, and conference room schedules.
- Assist in maintaining the cleanliness and organization of the reception area.
- Receive and sort daily mail and deliveries.
- Assist with administrative tasks such as data entry, filing, and managing office supplies.
- Ensure security by following procedures for access control (monitoring logbooks, issuing visitor badges, etc.).
- Handle customer queries and complaints with professionalism and escalate issues to the appropriate department as necessary.
- High school diploma or equivalent required; additional qualifications in office management or customer service are a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, fax machines).
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Ability to handle a fast-paced work environment and multitask effectively.
