The Contracts and Proposals Specialist prepares proposals and responds to customer and prospect inquiries using pre-approved proposal materials. The Specialist analyzes RFP requirements and works closely with other organizations throughout the company and senior members of the Contracts and Proposal organization to ensure current and accurate information is presented to the customer in the form of proposal content. The Specialist reviews proposal pricing and ensures appropriate approval levels have been provided. Identifies Terms & Conditions in the contract proposal that do not comply with Connection standards and works with a senior contract and proposal team member or management to develop alternatives. The Specialist also assists in document management of any resulting contracts for the Corporate Sales organization. The Contract and Proposal Specialist plays a major role in support of the Rapid Response Sales Support call center operation by answering calls, creating cases, and escalating cases when appropriate.

Where applicable, this position assures departmental processes are performed in compliance with applicable Sarbanes-Oxley controls.

Responsibilities:
  • Review requirements and prepare proposal responses to small and mid-level RFIs, RFPs, and RFQs for submission to corporate prospects and customers. Draft proposals in a professional format that conforms to Customer requirements. Review proposal pricing, terms, and conditions and ensure appropriate approval levels have been provided.
  • Coordinates with support organizations that have input into the proposal to ensure completeness and up-to-date proposal information.
  • Files contractual agreements executed by Connection for ease of reference and monitors for expiration dates to facilitate renewals.
  • Answers calls received by the Contracts and Proposals Rapid Response line. Creates cases within Call Tracker and escalates cases whenever necessary. Coordinates time with other Specialists to ensure a team member is always available to receive calls.

Qualifications:
  • Advanced Microsoft Office skills include creating presentations, creating documents in Word, including advanced formatting, and creating spreadsheets, including using macros.
  • Working knowledge of contracts and proposals with the ability to understand and follow RFP requirements
  • Technical aptitude with the ability to absorb and apply newly learned technical skills
  • Attention to detail in composing, keying, and proofing professional business materials
  • Strong analytical skills with the ability to understand lines and reasons for questioning
  • Excellent written communication skills with the ability to compose professional business communications via email, letters, and proposals.
  • Interpersonal skills with the ability to work well with all levels of the organization
