Front Desk Representative

Job Summary:
The Front Desk Representative serves as the first point of contact for guests and clients at [Company Name]. This role is responsible for greeting visitors, handling incoming calls, managing scheduling, and ensuring that the front desk operations run smoothly. The ideal candidate will be professional, friendly, organized, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
- Answer and direct incoming phone calls and emails to the appropriate personnel.
- Maintain a tidy and organized front desk area, including managing supplies and ensuring the reception area is clean.
- Handle visitor sign-in processes, including distributing visitor badges and maintaining visitor logs.
- Manage appointment scheduling and coordinate meeting room reservations.
- Receive and distribute mail and deliveries promptly.
- Provide general information to guests and clients regarding company services and office policies.
- Address customer inquiries, concerns, or complaints in a courteous and timely manner.
- Support various departments with clerical duties as needed.
- High school diploma or equivalent.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, fax machines).
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Customer service-oriented with a friendly and approachable demeanor.
- Ability to maintain confidentiality and professionalism in handling sensitive information.
