Full Time; AM Shift varies as needed; Monday - Friday

Expected starting wage range is $24.18 - $29.88. Telecare applies geographic differentials to its pay ranges. The pay range assigned to this role will be based on the geographic location from which the role is performed. Starting pay is commensurate with relevant experience above the minimum requirements.

POSITION SUMMARY

The Administrative Office Specialist will provide support services at the corporate location including administrative support, reception duties, vendor management and other assigned responsibilities and tasks. The position will support the Administrative Services Manager and Facilities and Real Estate Services (FRES).

QUALIFICATIONS

Required:

* High school diploma or GED is required

* Minimum three (3) years' experience as administrative assistant or /Office Management experience

* Must be at least 18 years of age

* All opportunities at Telecare are contingent upon successful completion and receipt of acceptable results of the applicable post-offer physical examination, 2-step PPD test for tuberculosis, acceptable criminal background clearances, excluded party sanctions, and degree or license verification. Position requires driving, valid driver's license, a motor vehicle clearance, and proof of auto insurance is required at time of employment and must be maintained throughout employment. Additional regulatory, contractual, or local requirements may apply.

ESSENTIAL FUNCTIONS

* Demonstrates the Telecare mission, purpose, values and beliefs in everyday language and contact with internal and external stakeholders

* Performs tasks correctly and according to policies and procedures

* Provides administrative support to ensure efficient office management

* Perform receptionist duties on a rotating basis

* Operates the phone console by answering incoming calls, determining the need of the caller and relaying the call accordingly

* Greets visitors, ascertaining their needs and providing direction as needed

* Notifies the appropriate staff of visitor arrival

* Receive deliveries, sort and distribute incoming mail

* Prepare outgoing shipping

* Coordinates the use of conference rooms

* Responsible for mailroom equipment, postage machine, fax machine, airbill machine, Interfaces with vendors and property management as needed

* Processes invoices and input into accounting system

* Monitors and orders office, kitchen and janitorial supplies

* Monitors and orders corporate printing and stationary needs

* Assists with planning and implementing corporate functions

* Operate and manage security related systems i.e., access control, security alarm, camera system, badge system

* Demonstrates a good rapport and cooperative working relationships with all members of the team; responds to co-worker concerns and promotes positive group morale

* Recommend improvements to existing processes to improve efficiency of operations

Duties and responsibilities may be added, deleted and/or changed at the discretion of management.

Position requires driving own personal vehicle for company business such as trainings, offsite meetings, etc.

SKILLS

* Ability to demonstrate administrative and organizational skills

* Ability to demonstrate computer skills, including Microsoft Office applications (Word, Excel, PowerPoint, Adobe Acrobat)

* Ability to perform tasks with a high degree of accuracy is essential

* Ability to work with limited supervision

PHYSICAL DEMANDS

The physical demands here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is occasionally required to walk, stand, twist, push, pull, and lift and carry items weighing 25 pounds or less as well as to frequently reach and bend. Simple grasping occasionally and to constantly sit. The position requires manual deviation, repetition and dexterity and to occasionally drive.
