Job Description

The Office Manager with Accounting and Timekeeping Background is responsible for overseeing the daily administrative functions of the office while also managing accounting tasks and timekeeping systems. This role ensures the efficient operation of the office, accurate financial record-keeping, and timely processing of employee time and attendance records. The Office Manager serves as a key liaison between different departments, providing support to both administrative and financial functions.

Key Responsibilities:

  1. Office Administration:

    • Oversee the day-to-day operations of the office, including managing office supplies, equipment, and facilities.
    • Ensure a clean, organized, and professional office environment.
    • Coordinate office activities and events, including meetings, conferences, and training sessions.
    • Supervise and support administrative staff, ensuring tasks are completed efficiently and effectively.
  2. Accounting Tasks:

    • Manage accounts payable and receivable, ensuring accurate and timely processing of invoices and payments.
    • Maintain and reconcile financial records, including general ledger entries and bank statements.
    • Assist in the preparation of financial reports, budgets, and forecasts.
    • Work with the finance team to ensure compliance with accounting standards and regulations.
  3. Timekeeping and Payroll:

    • Oversee the timekeeping system, ensuring accurate recording of employee hours, overtime, and leave.
    • Review and approve timecards, resolving any discrepancies or issues.
    • Coordinate with the HR and payroll departments to ensure accurate and timely payroll processing.
    • Maintain records of employee attendance, leave balances, and timesheets.
  4. Human Resources Support:

    • Assist with HR functions, including onboarding new employees, maintaining employee records, and coordinating benefits administration.
    • Address employee inquiries regarding timekeeping, payroll, and office policies.
    • Support the implementation and enforcement of office policies and procedures.
  5. Communication and Coordination:

    • Serve as a liaison between different departments, ensuring clear communication and efficient workflow.
    • Handle correspondence, including emails, phone calls, and mail, and respond to inquiries promptly.
    • Prepare and distribute internal communications, such as memos, newsletters, and announcements.
  6. Process Improvement:

    • Identify opportunities for improving office operations, accounting processes, and timekeeping systems.
    • Develop and implement best practices to enhance efficiency and effectiveness.
    • Stay informed about industry trends and advancements in office management, accounting, and timekeeping technologies.


Requirements

Qualifications:

  • Education: Bachelor's degree in business administration, accounting, finance, or a related field.
  • Experience: Minimum of 3-5 years of experience in office management, accounting, and timekeeping roles.
  • Technical Skills: Proficiency in accounting software (e.g., QuickBooks, SAP), timekeeping systems (e.g., Kronos, ADP), and Microsoft Office Suite (Word, Excel, Outlook).
  • Physical Requirements: Ability to work in an office setting, including sitting for extended periods and occasionally lifting office supplies or equipment.
