PURPOSE OF POSITION

Ensures the effective implementation of volunteers for both programming and food service at 48th and Smith, in coordination with the other WES Meal & Program Volunteer Coordinator, the WES leadership team and direct supervisor. This position will maintain clear communication with volunteers to foster support and facilitate planned activities and meal service. Offers comprehensive information, assistance, and guidance to both staff involved in programming, meal service and the volunteer team.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Collaborate with Program Managers and Director of Volunteer Coordinators to identify and address gaps in programming and meal service.
  • Recruit and foster relationships with volunteers possessing special skills to adequately staff program offerings.
  • Manage inventory and organization of supplies required for seamless program execution.
  • Communicate any changes to programming promptly to staff and relevant stakeholders.
  • Proactively seek assistance in staffing larger program offerings.
  • Complete a Programming Preparation Log (Run of day) for each program offering.
  • Maintain accurate data reflecting program engagement for monthly reporting to the Program Manager.
  • Follow the budget set and contribute to the budgeting process related to the role.
  • Maintain accurate and timely program statistical data for reporting purposes.
  • Ensure meticulous record-keeping of volunteer information.
  • Complete necessary administrative duties, including paperwork, in a timely and accurate manner.
  • Develop volunteer job descriptions, task lists, schedules, and activities.
  • Determine suitable volunteer assignments based on interests, skills, and departmental needs.
  • Assist staff in working with, evaluating, and supporting volunteers and community service workers.
  • Maintain ongoing communication with special skill facilitators to ensure continuous service provision.
  • Develop and implement volunteer recognition and retention events and activities in collaboration with internal personnel.
  • Establish and manage information tracking processes for acknowledging, recognizing, and cultivating relationships with donors and members.
  • Uphold and promote Catholic Charities' vision, mission, values, and Code of Ethics.
Qualifications
  • Proficient in computer skills, including the use of essential software programs such as Microsoft Word, Excel, and databases for data entry, report generation, and the creation of communications and presentations.
  • Demonstrated expertise in proactively planning and organizing events, showcasing a strong ability to adapt, interpret, and apply written guidelines, precedents, and standardized work practices to a variety of unprecedented or challenging situations.
  • Prior experience in delivering structured, in-person training is highly preferred, emphasizing a commitment to creating a supportive and engaging learning environment.
  • Capable of delivering content in an enthusiastic, engaging, and easily understandable manner, ensuring effective communication and knowledge transfer.
  • Possesses excellent written and verbal communication skills, with the ability to confidently make presentations in front of groups.
  • Maintains organizational excellence, demonstrating attention to detail and thoroughness in record-keeping and documentation requirements.
  • Acquires knowledge of trauma-informed techniques and practices suitable for the client population, demonstrating a compassionate and understanding approach.
  • Exhibits strong interpersonal skills, fostering effective collaboration as a team member and independently interacting with Agency staff and a diverse client base.
  • Adaptable to a flexible and changing schedule, showcasing a commitment to meeting the evolving needs of the organization and its stakeholders.
EDUCATION and/or EXPERIENCE

Bachelor's degree (BA/BS) from accredited four-year college or university in a related field; and one to two years related Human Services/Marketing experience; or equivalent combination of education and experience.

COMPENSATION & BENEFITS:

Salary: $23.00
