Join our team as a Human Resources (HR) Assistant or HR Assistant- Advanced within the Division of Personnel Management. This position would support the State's second largest agency, the Department of Health Services (DHS) with more than 7,000 employees. We are a fast-paced and dynamic team that works hard and has fun We offer a team-oriented atmosphere with a mostly remote work schedule and core work hours of 9am to 3pm Monday through Friday. This position is headquartered at 1 W. Wilson St in the heart of downtown Madison, near the State Capitol.

Position Summary

We are looking for a Human Resources Assistant to:
  • Assist HR Generalists with staffing related activities such as background checks, reference checks, onboarding and offboarding tasks, etc.
  • Ensure accurate and timely information is entered into HR Systems.
  • Work independently and as part of a team, providing assistance wherever needed.

Salary Information
  • The starting pay is between $26.00 and $29.08/hr (approx. $54,000 and $60,400 per year), plus excellent benefits.
  • A 12-month probationary period is required.
  • The position will be filled at either the HR Assistant or the HR Assistant - Advanced level. The level of the position and salary will be determined based on the qualifications of the selected candidate at the time of hire.
  • Pay for current or former state employees is set based upon the rules that apply to compensation for the applicable transaction. Pay schedule/range for HR Assistant is 81/05 and HR Assistant - Advanced is 81/04.
Job Details
  • All applicants who may be appointed to this position will be required to allow DOA to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.

  • DOA does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire.

Qualifications

Minimally qualified applicants will have both of the following:
  • Experience working in an office setting providing administrative support (e.g., scheduling interviews or meetings, drafting documents, reviewing documentation to ensure accuracy and completion, responding to emails, etc.).
  • Experience using computer software programs to perform tasks such as document creation, data entry, report production, data analysis, etc.
Well-qualified applicants will also have one or more of the following:
  • Experience performing HR activities (e.g., conducting background and reference checks, coordinating interviews, providing HR resources to supervisors, onboarding new employees, maintaining personnel files, etc.).
  • Using an HRIS system to process personnel or payroll.
  • Experience reviewing procedures and making recommendations for process improvements.
