Essential Job Functions

Kirkland & Ellis is seeking a Client Engagement Specialist to support events and client engagement activities in our Boston office, as part of the Firm's Business Development (BD) department. This role will report to the Business Development Director and work closely with the New York Client Engagement team. The Specialist will play a key role in the planning and executing all client engagement activities. You will also be responsible for Boston area sponsorships and charitable initiatives driven by the local partnership. You will also be responsible for the maintenance of CRM lists for Boston events and projects and other regional projects as needed.

Key initiatives within this role will include intimate closing dinners, large-scale client receptions and in-house seminars/webinars. You will coordinate events from conception to completion, including invitation list building, venue sourcing and management, and stakeholder communications, while ensuring each event is aligned with our policies, budgets, procedures and standards. You will actively contribute ideas, and execute and expand upon existing organizational tools, processes and policies, all while providing superior service to attorneys and clients. You should be self-directed, with a proven record of simultaneously managing multiple events. As needed, you must be able to work early mornings, later night and occasional weekends, as well as travel to support large-scale events in New York.

We are looking for an exceptional communicator and critical thinker with a history of taking initiative and a genuine intellectual curiosity. You will possess excellent organizational and project management skills, outstanding editing and proofing skills, the ability to prioritize and multitask in a fast-paced environment, a strong attention to detail and a professional and polished demeanor. You will be oriented toward continuous improvement - of both your own work product and of the team as a whole.

Success in this role will depend upon your ability to collaborate effectively with team members, develop familiarity with the Firm's various resources and systems, hone your instincts to anticipate questions and potential issues, independently manage your time and consistently "go the extra mile" without being asked. You will be expected to establish yourself as a trusted, responsive resource to your BD colleagues and attorneys in Boston. Excellent judgment and discretion in handling confidential or sensitive information is critical in this role.

You will closely communicate and collaborate daily with approximately 170 diverse problem-solvers and advisers dedicated to the broader BD, marketing and communications efforts of the Firm. Kirkland's international BD team provides seamless service to our attorneys with a focus on quality, innovation and responsiveness.

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)
  • Support the development, organization, coordination, implementation, and successful completion of both in-person and virtual client engagement activities in or generated in Boston.
  • Collaborate closely with internal team members across the Firm (Branding & Creative, communications and procurement etc.) and provide regular updates to lead attorneys and client representatives as needed.
  • Assist with other marketing projects as needed including printing or proofing business pitches and marketing collateral, research requests and client gifting.
  • Maintain targeted client and prospect lists using the firmwide CRM database.
  • Manage processes for the analysis of event data, post-event briefings, opportunities and ROI reporting, budget reconciliation and promotion of follow-up activities and best practices.
  • Provide on-site support and ensure the smooth execution of all events, supporting receptions and dinners.
  • Organize and coordinate on-site logistics including hospitality, audio-visual and other event-related logistics as required.

Required
  • Demonstrated ability to plan and execute a wide variety of events.
  • Outstanding written and verbal communication skills, with the ability to interact professionally with high-level attorneys, clients, staff and guests of the Firm.
  • Ability to take initiative, adapt to change and work independently in high-pressure, deadline-driven scenarios while exercising sound judgment and making intelligent, informed decisions.
  • Excellent client service orientation and interpersonal skills, with the ability to establish rapport and maintain effective relationships with various levels of personnel, internally and externally, including existing and potential clients.
  • Strong organizational and project management skills, including the ability to prioritize and execute a diverse range of tasks with a high level of attention to detail.
  • Ability to handle ambiguity, weigh options and find ways to move initiatives forward to meet critical deadlines and produce results.
  • Collaborative approach to working within a team, including the ability to take direction and implement feedback.
  • Ability to thrive in an electronic environment and utilize technology to deliver information. Proficiency in methods of information acquisition, including the use of online information databases, tools and resources.
  • Solid command of MS Office Suite (Outlook, Word, PowerPoint, Excel, SharePoint).
  • Bachelor's degree.
Preferred
  • At least 5 years of experience in a law firm or professional services environment.
  • Experience with CRM/database software (e.g., InterAction, Salesforce, etc.).
  • Strong skills in Microsoft Office software, with expertise in PowerPoint, Excel and SharePoint preferred.
  • Very strong attention to detail and a professional demeanor.
  • Ability to perform overtime as necessary.
