We are seeking an organized and professional Administrative Assistant / Receptionist to join our team The ideal candidate will be the first point of contact for visitors, clients, and employees, providing exceptional customer service and administrative support to Executive team.

Administrative Support:

  • Provide administrative assistance to Executive Team as needed.
  • Assist in scheduling meetings, conferences, and appointments.
  • Handle incoming and outgoing mail and packages.
  • Maintain and order office supplies and equipment.
  • Prepare and distribute internal communications.
  • Prepare meeting agendas, materials and presentations
  • Provide project management support to the executive team
  • Assist in tracking project progress and deadlines.
  • Expense management
Reception Duties:
  • Greet and assist visitors, clients, and employees with a friendly and welcoming demeanor.
  • Answer and direct incoming phone calls and inquiries promptly.
  • Manage the reception area, ensuring it is clean, organized, and professional at all times.
  • Monitor and maintain visitor logs and security access.
Communication:

Communicate effectively with team members, and visitors.

Handle inquiries and provide information in a courteous and professional manner.

Relay messages and information accurately and promptly.

Support for Special Projects:

Assist in special projects and tasks assigned by management.

Requirements
  • Bilingual
  • Proven experience as an executive assistant or in a similar high-level administrative role.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Discretion and the ability to handle confidential information with professionalism.
  • Adaptability and the capacity to work under pressure and meet deadlines.
  • Excellent problem-solving and decision-making skills.
