**The Position:**
Under the direction of the Safety & Transportation Director and Fleet Safety Manger, the Administrative Assistant - Transportation will perform a variety of traditional administrative functions related to the Companies' licensed vehicle fleet as outlined below. Regular interaction with other departments within the company is required, consisting of Finance, Risk, Shops, HR, and the Manufacturing and Construction Operations. Communication with outside vendors, Department of Motor Vehicles and regulatory agencies is necessary.
Role and Responsibilities
Gather, file, and track fuel and mileage use for International Fuel Taxes (IFTA)
Gather, file, and track mileage use for Heavy Vehicle Usage Taxes (HVUT)
Forecast and adjust Heavy Vehicle Usage Taxes (HVUT) usage based on previous usage
Coordinate with operations to determine ongoing needs for International Registration Plan (IRP)
Maintain and process the annual renewal for International Registration Plan (IRP)
Coordinate with operations to determine licensing on an ongoing basis
Maintain licensing database including filing for; new, lost or stolen plates and or registration
Coordinate employee and equipment of emissions testing requirements
Maintain and track all annual licensing in appropriate database
Maintain files for licensed equipment
Assist & Maintain CDL driver files for new hires & new CDL holders across the companies
Other administrative work (as needed)
Qualifications and Education Requirements
* Prior experience working with Microsoft Windows Software programs including Outlook, Word & Excel
* Prior experience in administrative support and database data entry and extraction
* Strong organizational, communication and follow-up skills
* Proven ability to multi-task in a fast-pace environment and communicate clearly using various mediums is
essential
* Demonstrated communication and interpersonal skill that enable effective working relationships with both
internal and external stakeholders
* Make sound judgement decisions along with the ability to establish and maintain timetables/deadlines while
handling multiple demanding projects.
