We are looking for an enthusiastic and dedicated customer experience specialist to enhance our customer experiences. You will be tracking all points of customer engagement, addressing customer queries, and identifying ways to improve our customer services.

You will manage the day-to-day scheduling operations and ensure that jobs are ready for installation. You will handle purchasing, create department job files, contact customers regarding scheduling issues, schedule subcontractors and inspections. A critical responsibility is ensuring effective coordination of communication between installers, field supervisors, customers, vendors and the office team.

To ensure success as a customer experience specialist, you should exhibit in-depth knowledge of customer engagement channels and experience in a similar industry. A top-notch customer experience specialist will be someone whose expertise results in excellent customer relationship management and a positive brand image.

The work setting is in an office. It is an essential function of the position to work with a team in person, therefore, the position is not a remote or hybrid position and must report to the direct work site.

Essential Functions and Responsibilities include, but are not limited to:

•Process all purchase orders for install department

•Inventory / Stock warehouse for service and install

•Maintain an inventory of uniforms and tracking process

•De-brief installers after each job so that Service Titan can be updated

•Stage and prepare jobs for the next day so that they are ready to be loaded every morning

•Update and maintain schedule board with all sold jobs, communicate scheduling issues with other departments including sales.

•Check paperwork and timecard from previous day's job, schedule any punch lists or uncompleted items.

•Check with Dept Managers for any job site deliveries.

•Return overage stock to vendors, write PO and have material set out for pick up by vendor.

•Oversee and participate in quarterly inventory count.

•Complete paperwork for job costing, orders received etc. and send to accounting department.

•Maintain warehousing of Company supplied tools. Generate check out lists and reconcile upon return.

•Schedule layouts and update layout & design schedules, coordinate with Foreman/Installation Manager.

•Ensure that at least one installers and service tools and van is inspected each week.

•Make sure that all jobs have permits and the inspections are called in timely.

•Create all job packets.

•Purchase equipment and schedule subcontractors

•Know whereabouts and progress of crew daily.

•Return customer calls in a timely manner, resolving open issues in a fast/efficient manner etc.

•Process extended warranties and customer rebates.

•Process all sales related packet information daily - job progression form to be filled out.

•Process all finance documents & schedule with customer for signage.

•Provide assistance in completing job packets.

•Call or send a thank you card to the customer.

•Resolve customer differences.

•Design & mail Customer thank you gifts.

•Coordinate with vendors as needed regarding returns, warranty, delivery, etc.

•Coordinate van service and repairs with the fleet supervisor.

Requirements

•Two years related experience and/or training in customer service and/or project management or equivalent combination of education and experience

•Ability to multi-task

•Geographical knowledge of sales area or map reading skills a plus

•Professional phone skills

•Strong interpersonal skills

•Working knowledge of GPS and mapping software

•Energetic personality

•Well organized and ability to work independently
