Job Overview: The Human Resources Assistant will support the Human Resources Generalist and the Talent Acquisition Specialist in the daily functions of the Human Resources Department. Performs general clerical duties in an orderly and efficient manner, maintaining good relations with all staff members and vendors. Assists staff with benefits enrollments and qualifying events, leaves of absences, wellness benefit reimbursements, student loan repayment programs, ergonomic assessments, and general human resources inquiries.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Employment

  • Supports in administration and filing of various employee benefit programs, such as group medical, dental, vision, life, LTD, retirement, FMLA and other types of Leave, Student Loan Repayment and Tuition Assistance programs, Wellness and Employee Assistance Programs, and COBRA administration.
  • Provide benefit orientations to new staff including coordination with Nursing Services and IT to complete the onboarding process.
  • Scan and upload required employment documents, authorizations, vaccination records, education certificates and transcripts, clearances, and certifications in the DATIS e3 system.
  • Create and maintain Employee Confidential Files.
  • Update and maintain the Emergency Phone Tree and Call Multiplier programs.
  • Assists in ergonomic assessments as requested.
  • Schedules and executes exit Interviews with terminating employees, including collection of PBH company property (badge, keys, phone, laptop, etc.).
  • Assists Human Resources Generalist in obtaining data relevant to annual benefit renewal.
  • Prepares data needed for the Benefit Census for the annual benefit renewal.
  • Review staff's benefit enrollments and submit as appropriate.
  • Monitor and renew staff licenses and certifications.
  • Assists Talent Acquisition Specialist in recruitment and onboarding processes.
  • Run and submit monthly OIG Exclusion Report.
  • Update and distribute the annual benefits Summary Plan Description including the required notices of federal rights of individuals under health plans.
  • Assists in data collection for Federal reporting to include annual OSHA 300 logs, Bureau of Labor Statistics annual reporting, and annual EEOC reporting.
  • Gather and prepare requested information for Financial and SBH-ASO audits.

Staff Relations

  • Responds to routine staff requests for assistance in matters pertaining to Benefits and other general Human Resources inquiries.
  • Schedule and coordinate annual on-site meetings with retirement Financial Advisor.
  • Assists staff in understanding and applying for the PBH Tuition Assistance Program.
  • Send out Eligible Distribution Notices from the retirement plan to terminated participants.
  • Responds to requests for Verification of Employment.
  • Assists in implementing new benefit programs; arranges and conducts employee information presentations and enrollments.

SECONDARY DUTIES AND RESPONSIBILITIES:

  • Maintains adequate supply of New Hire packets and onboarding information.
  • Assists with retirement documents to include rollovers, loans, and withdrawals.
  • Order and replace annual Labor Law and Minimum Wage Posters.
  • Performs other duties assigned.

PERFORMANCE EXPECTATIONS:

  • Keeps Human Resources Director, Human Resources Generalist, and Talent Acquisition Specialist appropriately informed, requests guidance as needed, and exercises discretion and confidentiality as appropriate to this position.
  • Maintains a positive organizational perspective and promotes a positive work environment.
  • Coordinates and prioritizes work assignments so that tasks are completed on time.

REQUIRED EDUCATION, LICENSE(S), CERTIFICATION, AND EXPERIENCE:

Required Education:

  • High School Diploma or GED
  • Prior knowledge of principles and practices of Human Resources

Preferred Education: Bachelor's Degree in Human Resources, Business Administration, or a related field

Licensure: None

Experience:

  • 1 year of experience in Human Resources, Benefits Administration, or clerical work
  • Strong organizational skills
  • Strong oral and written communication skills
  • Strong customer service skills

Additional requirements:

  • Must be able to pass a pre-employment drug test and background check.
  • Must be able to provide vaccination records for MMR, Hep B, Tdap and recent flu shot.

PREFERRED ADDITIONAL CREDENTIALS / EXPERIENCE:

  • 3 years of experience in Human Resources/Benefits Administration
  • PHR or SHRM-CP Certification

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to maintain effective and professional relationships with other members of the Peninsula Behavioral Health team.
