Essential Duties and Responsibilities:

  • Processes P.O. related invoices accurately and timely. Including the verification of costs, quantities and part numbers. Identify discrepancies and discuss with the Purchasing department.
  • Accurately and timely processes both inventory and non-inventory payables and invoices, reviewing for unusual activity or circumstances.
  • Ensure all invoices are properly authorized for payment at the appropriate levels within the organization as set forth in the signature authority matrix.
  • Support the SWG Controller by forwarding relevant invoices for prepaid service contracts, other assets, capital expenditures, advances to suppliers and employee purchases.
  • Play an active role in resolving vendor and intercompany discrepancies and past due balances, as well as being responsible for the timely reconciliation of vendor statements.
  • Maintain appropriate supporting documentation for internal records and audit support.
  • Ensure timely and accurate payment of disbursements.
  • Assist in the processing of weekly check runs, wires, ACH's, etc.
  • During the month-end close process, assists in the preparation of the AP accrual entry.
  • Maintain positive working relationships with both external vendors and our internal customers.
  • Serve as a back-up related to any other accounts payable related functions as needed.
  • Other duties as assigned.
Required Knowledge, Skills and Abilities:
  • Attention to detail, accuracy and speed.
  • Self-starter with the ability to juggle competing priorities; organized; ability to meet deadlines.
  • Uses experience and judgment in the application of basic accounting practices as related to accounts payable.
  • Requires initiative and strong analytical and problem solving skills.
  • Proficient 10-key and keyboarding abilities; strong computer skills and abilities.
  • Excellent verbal and written communication skills.
  • Positive attitude, customer oriented, strong sense of accountability and responsibility.
Supervisory Responsibility:

None.

Education and/or Training:
  • High school diploma or equivalent, Associates Degree preferred.
  • 3 to 4 years of related experience.
