Position Purpose

The Front Desk Coordinator is the reliable and welcoming face of DWFritz, responsible for reception and other cross-functional administrative tasks across the Company. This position will also focus on travel coordination, office supply ordering, executive credit card reconciliation, catering, and maintenance of the internal website for the Company. This position helps with administrative process improvements, company events, and works with other department Administrative Assistants, Executive Assistants, and Managers in the administration of DWFritz Automation Corporate Goals.

Responsibilities

  • Provide on-site reception services from 7:45 AM to 5:15 PM Monday - Friday, ensuring visitor security procedures are followed. This means that the position is expected to work 2.5 hours of overtime each week.
  • Provide world class service via a professional, friendly, and helpful first impression to all clients, visitors, and staff; both in person, on the telephone, and in written communication.
  • Support staff with travel needs, including bookings through online and travel agency tools and helping with on-site guest arrangements while visiting DWFritz. This may include both domestic
and international travel (i.e. booking hotels, flights, ground transportation, passports, visas, registry with embassies, insurance, etc.) in line with corporate policies.
  • Order catering for on-site events and meetings and assist Facilities team with set-up / clean-up of conference spaces as needed.
  • Collect and distribute corporate mail, front desk deliveries, and faxes to the appropriate staff members. Prepare outgoing mail for shipping using postage meter. Maintain and purchase supplies for postage meter.
  • Maintain and organize seating charts and office supply room, placing orders for office supplies.
  • Maintain receipts and reconcile credit card statements for all purchases on Central Services corporate card. Reconcile credit card statements for travel purchases made on corporate card and assist with executive credit card expense reports, as needed.

Knowledge, Skills and Abilities

  • Ability to handle a wide range of administrative support duties including those of a highly confidential nature. Recognize the importance of confidentiality when working with a variety of documents and conduct self in a professional manner.

  • Ability to solve problems creatively, organize work, and work well with all employees.
  • Proficient MS Office software skills - word processing, spreadsheet, and Outlook.
Education and Experience
  • High school diploma or GED required.
Interpersonal Contacts

We are an ITAR protected facility and due to the nature of your role, you may encounter ITAR related project information. Your citizenship status will determine what access you have at the facility.

External to DWFritz
  • Most frequent external contacts are with clients and other partners.
Internal to DWFritz
  • Interacts with both internal staff and external contacts.
Work Environment
  • This job operates in a professional office environment but is mobile throughout the facility which includes a manufacturing floor.
Physical Demands
  • The physical demands listed here are typical for the role and may be modified upon request for reasonable accommodation.The employee may be working at a personal computer workstation for most of the workday in a professional office environment. The position requires the employee to communicate with others including talking and hearing. The employee must be mobile / able to move between office and meeting spaces for much of the day. The employee may occasionally lift up to 15 pounds, bend, stoop, and grasp.
