As a legal assistant, you will serve as the first point of contact for clients and will be responsible for handling all client intake and onboarding while providing ultimate customer service. Additionally, you will support the firm’s attorneys and production team by taking care of critical legal administrative duties to keep the business moving forward. These duties include calendaring, general office organization, and supporting client matters such as scanning, mailing, filing, telephoning, data entry, witnessing, notarizing, and client follow-up. Finally, you will assist with implementing the firm’s marketing and business development strategies. This can include assisting with mailing, telephone, and social media campaigns directed to former, current, and prospective clients and referral sources developed by the firm’s managing attorney and marketing contractors. If you have experience in a law firm environment, are passionate about helping people with their personal problems (clients), want a meaningful career where you know your work will directly and positively impact a person's life, and are looking for a rewarding opportunity in the legal industry, we want to connect with you Responsibilities Providing excellent customer service while processing all new potential client calls during client intake and onboarding process Organizing client files, both paper and electronic Scheduling meetings with clients E-filing and other administrative support to the legal staff Drafting correspondence to clients and other third parties Communicating with clients with updates and gathering information Assisting at estate planning signings and other client meetings Updating the Firm’s databases, reports, or spreadsheets to track incoming calls, leads qualified, meetings scheduled, referral sources, and other key metrics Assisting with the Firm’s business development and marketing strategies designed to connect with prospects and engage referral sources who refer prospects Assisting with the Firm’s other administrative tasks, such as filing, scanning, witnessing, and notarizing legal documents. Inventorying the office and ordering office supplies Qualifications Comfortable working with all Microsoft Office products Experience with Apple computers Minimum 2 to 3 years of experience in a law firm as an administrative assistant or secretary Spanish-speaking preference Organizational skills and communication skills are necessary for this position Education and/or work experience equivalent to a bachelor’s degree Experience with a CRM, particularly data tracking and reporting, is required Real-life experience & a few “battle scars” to give you empathy and understanding are assets Experience overcoming a major obstacle in life and making an important change so you know at your core that others can do it too is a plus Compensation $23 - $25 per hour + performance-based bonuses About Law Office of Adriane S.
