Motivates associates and establishes a productive working environment at the hotel. Assists in planning associate events including recognition events, picnics, charitable events, etc. Analyzes reports and communicates information to staff and appropriate departments. Knowledge of hotel property, amenities, and area attractions. Immediately alert hotel management of emergency situations via all communication avenues. Conveys company information, decisions, or problems to appropriate parties on a timely basis. Actively listens to others. Thoroughly completes projects and assignments professionally with care. Adjusts to high-pressure conditions and is open to change. Assumes responsibility for personal growth and development. Always conducts him/herself (acts and dresses) professionally; sets standards for all. Expresses ideas and conveys information clearly, effectively, and professionally. Scrupulously follows all Ko’a Kea Hotel & Resort policies and procedures. Ensures team members receive appropriate new hire orientation training to successfully perform their job. Works with management team to ensure departmental onboarding and training processes are in place. Provides new team members information to stay current on knowledge of property’s policies and benefits. Facilitates and/or oversees training of Company programs and team member training. Maintains effective team member communication channels throughout the property (e.g., develops daily communications and assists with property-wide meetings). Assist with the processing and tracking of invoices across all departments to ensure timely and accurate financial documentation. Ensures team member files contain required employment paperwork, proper performance management and compensation documentation, are properly maintained and secured for the required length of time. Ensures compliance with procedure for accessing, reviewing, and auditing team member files and ensures compliance with the Privacy Act. Ensures medical records are maintained in a separate, secure and confidential medical file. Maintains, monitors and audits other personnel records required according to position specifications such as food handler’s cards/SERV safe certifications, esthetician/massage licenses, etc. Participates in, supports and helps implement engagement and recognition events/activities to promote high morale, positive interactions, and Team Member appreciation. Reporting to work as scheduled (on time and on regular basis) is an essential function of the job. Maintains the property’s confidential employment and insurance files. Performs general office tasks such as filing, distributing mail, responding to email, photocopying, sending/receiving faxes. Purges files annually per record retention schedule and stores for safekeeping. Orders, creates and issues Team Member nametags, parking cards and other supplies needed as part of onboarding process, collects same and all issued property at time of separation. Notifies management of unsafe conditions, needed maintenance of any equipment, and any accidents. What you will bring Knowledge of the English language to effectively communicate with guests, associates, and vendors. Knowledge of all hotel departments and functions. Good mathematical and computer skills. Ability to accurately use various Microsoft Office, PMS, and accounting software. Ability to lift and pull a minimum of 20 pounds. Ability to be a team player. Pushing, bending, stooping, upward reaching, manual dexterity. Hearing, writing, typing. Other duties may be assigned. Must have knowledge of all hotel departments and events. Must have good mathematical and computer skills. High school education and relevant training and experience required. Additional education preferred. Knowledge of local area required. CPR and first aid training preferred. Great if you have Four-year college degree or equivalent education experience. Minimum two years in a People & Culture (HR) Coordinator role. High school diploma or general education degree (GED), or equivalent combination of education and experience. Bachelor’s degree or certificate in Human Resources Management desired. Must have excellent employee relations skills to work with team members and candidates of various social, cultural, economic and educational backgrounds for the purpose of resolving problems and providing a high level of team member satisfaction. Able to use mathematics to solve complex problems. Requires ability to use computers to record, store and analyze information. Requires computer proficiency and technical aptitude with the ability to utilize MS Office and various HRIS applications.
