Position Summary: The Admissions Support Specialist is responsible for the smooth operation of many of the clerical-related functions of the admissions office including: processing and managing applicant files, processing supplemental documents (such as transcripts and test scores), sending out acceptance/denial packages, greeting admissions guests, and providing coverage for other clerical staff. The Admissions Support Specialist reports to the Admissions Operations Manager and works closely with Admissions Counselors to meet enrollment goals. The schedule for this position is Monday through Friday from 9am to 5pm. During the summer, the office is closed at 2pm on Fridays. Some evening/weekends may be required for specific events (usually 1 or 2 days a semester). Duties and Responsibilities: Applicant File Processing Process and update electronic applicant records in student information system (SIS) Process enrollment deposits Package and mail acceptance packets and denial letters Update applicant status in SIS and CRM database as documents are received or decisions are rendered Process transcripts, letters of recommendations, test scores, etc. as they are received through various channels Communicate applicant changes/information to Admissions Counselors Prepare files of enrolled students for the Office of Student Records Purge files and documents on a consistent basis Reports Preparation Assist the Operations Manager with specific weekly reports and distribute to faculty and staff Prepare additional admissions-related reports upon request Phones/Email Provide back-up coverage for the Admissions phone line with excellent customer service to each caller Manage Admissions Department email Record inquiry information, answer general questions, and work with applicants to complete files Greet Admissions Guests Greet admissions guests, have guests fill out appropriate forms, notify counselors or appropriate personnel upon the guest’s arrival Department Administration Provide coverage for other clerical staff members when necessary Open and distribute mail Attend all relevant department meetings Establish and maintain consistent communication and collaboration with other members of the enrollment management staff to ensure smooth workflow Inter-Departmental Collaboration Work with other college departments to meet enrollment management goals. Minimum Skills/Qualifications Proficient in Microsoft Office, especially Excel Must be detail-oriented Must be organized and have the ability to multi-task and prioritize tasks Strong written and verbal communication skills Ability to work with a team while also able to self-manage and work independently when necessary Comfortable working in collaboration with other college departments Outstanding interpersonal skills and ability to connect with students and parents Self-discipline and ability to maintain a professional disposition in a fast-paced environment Flexible schedule/availability for evening and weekend hours when necessary Preferred Qualifications Working knowledge of student information systems (SIS) and customer relationship management (CRM) software, especially PowerCampus and Liaison EMP Knowledge of electronic applications and high school/college transcripts Data entry experience Prior experience in higher education, specifically Admissions ABOUT HARCUM: Harcum College is an independent, coeducational, fully accredited, residential college.
