**Position Summary**
The Building Technologies Business Integrator leadership team is seeking an organized, proactive, self-directed Executive Assistant to provide administrative and project support.
**Principal Responsibilities**
+ Supports leadership team with the following:
+ Email and calendar maintenance. Takes a proactive approach to identifying, prioritizing, and resolving scheduling conflicts.
+ Monthly expense report management and reconciliation of credit card statements
+ Manages domestic and international travel arrangements
+ Provides support with professional correspondence and collation of reports and documents
+ Interfaces with other Executive Assistants (locally and Internationally) to clarify, support, and expedite requests
+ Manages meetings and events for the business to include the following:
+ Coordinates meeting arrangements for all, key, on-site and off-site meetings (conference rooms, catering, hotel arrangements, conference calls, etc)
+ Participates in select meetings when requested
+ Assists with the creation of the annual calendar cadence of meetings then executes the build out via outlook.
+ Manages and coordinates operational tasks to include the following:
+ Acts as the liaison between the building and management
+ Supports the facility and ordering any products needed for the team and office to function
+ Supports special projects as requested
+ Partners with other assistants to ensure efficiency and back up arrangement
**Qualifications**
**Basic Qualifications:**
+ Associate's Degree in a related field or advanced business courses.
+ 3-5 years of experience in an administrative role.
+ Strong understanding of general office practices and project management.
+ Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
+ Ability to maintain a high level of confidentiality with sensitive information.
+ Excellent oral and written communication skills.
+ Proven ability to manage email and calendar maintenance, including resolving scheduling conflicts proactively.
+ Experience in managing domestic and international travel arrangements.
+ Ability to interact professionally with all levels of the organization.
+ Strong organizational and time-management skills, with the ability to work independently and in a fast-paced team environment.
**Preferred Qualifications:**
+ Bachelors Degree in Business, International Affairs, or Communications.
+ 5-10 years of experience in an administrative role supporting executive management.
+ Experience coordinating and managing meetings and events, including on-site and off-site arrangements.
+ Familiarity with MS Teams and other collaborative tools.
+ Experience acting as a liaison between building management and the leadership team.
+ Experience supporting special projects and partnering with other administrative professionals for efficient operations.
+ Ability to participate in select meetings and contribute to the creation and execution of annual calendar cadences for meetings.
