Description du poste

L’administrateur(rice)

des baux commerciaux devra superviser la gestion et l’administration de notre portefeuille de baux de l’entreprise. Le ou la candidat(e) idéal(e) aura une solide compréhension des contrats de location, d’excellentes compétences organisationnelles et la capacité à communiquer efficacement avec les parties prenantes internes et externes. En tant que membre crucial de notre équipe,

l’administrateur(rice)

des baux commerciaux vérifiera la conformité aux modalités du bail, gérera la documentation liée au bail et soutiendra la négociation des contrats. Activités principales

Administration des baux :

tenir à jour et assurer l’exactitude des données du bail, y compris les contrats de location, les modifications, les renouvellements et les résiliations dans un système ou une base de données centralisés.

Conformité du bail :

contrôler les obligations de location, les dates limites et les dates cruciales afin d’assurer la conformité avec les modalités stipulées dans les contrats de location.

Gestion financière :

examiner et analyser les modalités du bail pour faciliter une facturation adéquate, le paiement des loyers et les rapprochements des dépenses, en plus d’assurer le respect des obligations financières.

Communication et coordination :

collaborer avec divers services internes (légal, financier, immobilier) afin de traiter les demandes liées aux baux, résoudre les enjeux et garantir des opérations fluides.

Négociation des baux :

contribuer aux négociations des baux, y compris l’ébauche des documents de location, l’examen des propositions de location et la recommandation de modifications au besoin.

Production de rapports :

préparer des rapports réguliers sur le statut du portefeuille de baux, y compris l’expiration des baux, les indicateurs financiers et autres indicateurs clés de performance.

Optimisation :

identifier les occasions de rationaliser le processus d’administration des baux, d’améliorer l’efficacité et de mettre en œuvre des pratiques d’excellence.

Connaissances et compétences nécessaires

Cégep ou diplôme d’études universitaires en finances, en droit, en administration ou dans tout autre domaine pertinent.

Trois (3) ans d’expérience de travail dans l’administration des baux.

Bilinguisme français et anglais.

Solides capacités d’analyse et d’organisation.

Maîtrise de Word et d’Excel.

Aisance avec les documents légaux.

Excellentes aptitudes en communication, en influence, en collaboration et en création de relations.

Capacité de travailler efficacement dans un environnement au rythme rapide, de haute performance et axé sur les résultats.

a Corporate Lease Administrator.

This role is based in our Nuns’ Island office in Montreal, Quebec, and reports to the Facilities Manager.

The Corporate Lease Administrator will have to oversee the management and administration of our company’s lease portfolio. The ideal candidate will possess a strong understanding of lease agreements, excellent organizational skills, and the ability to effectively communicate with the internal and external stakeholders. As a key member of our team, the Corporate Lease Administrator will ensure compliance with lease terms, manage lease documentation, and support lease negotiations.

Principal Responsibilities

Lease administration:

maintain accurate and up-to-date lease data, including lease agreements, amendments, renewals, and terminations in a centralized database / system.

Lease compliance:

monitor lease obligations, deadlines, and critical dates to ensure compliance with terms and conditions outlined in lease agreements.

Financial Management:

review and analyze lease terms to facilitate accurate billing, rent payments, expense reconciliations, and ensure adherence to financial obligations.

Communication and Coordination:

collaborate with various internal departments (such as legal, finance, real estate team) to address lease-related queries, resolve issues, and ensure smooth operations.

Lease Negotiations

: assist in lease negotiations, including drafting lease documents, reviewing lease proposals, and recommending changes or modifications as needed.

Reporting:

prepare regular reports on lease portfolio status, including lease expirations, financial metrics, and other key performance indicators.

Process Improvement:

find opportunities to streamline lease administration process, improve efficiency, and implement best practices.

Qualifications & Experience

College or University diploma in finance, legal, administration, or a related field.

Three (3) years of experience working in Lease Administration.

Fluent in both French and English.

Strong analytical and organizational skills.

Proficiency in Word and Excel.

Possess a facility with legal documents.

Excellent communication, influencing, collaboration, and

relationship-building

skills.

Ability to work effectively in a fast-paced, high-performance, and results-driven environment.
