We are seeking a highly organized and customer-focused Service Coordinator to join our Sales team to manage customer communications, be responsible for confirming service appointments, and to ensure all service-related documentation and reporting is accurate and up to date. This role is crucial in maintaining our high standards of customer satisfaction and operational efficiency.

Responsibilities

Appointment Confirmation

  • Confirm service appointments with customers, providing them with necessary details and ensuring readiness for the service visit.
Customer Communication
  • Act as a primary point of contact for customers regarding service scheduling, updates, and follow-up inquiries.
  • Ensure clear and effective communication to enhance customer satisfaction.
Documentation and Reporting
  • Maintain accurate records of service schedules, work orders, customer interactions, and technician deployments.
  • Prepare and submit reports on service activities and performance metrics.
Work Order Generation
  • Create new emergency work orders.
  • Generate PM (Preventive Maintenance) work orders.
Work Order Scheduling
  • Coordinate and manage service schedules, ensuring technicians are efficiently assigned to service calls and customer appointments.
  • Manage the schedule board and ensure optimal routing for technicians.
  • Emergency call dispatch.
  • Proactively schedule PM work orders.
  • Proactively schedule SP (Service Project) and QQ (Quality and Quote) work orders.
Purchase Requests
  • Process and manage purchase requests for parts and supplies needed for service tasks, ensuring timely acquisition to avoid delays in service delivery.
  • Confirm technician purchase orders (POs) twice daily.
  • Key in technician-generated purchase order details.
  • Issue consumable purchase orders (POs).
  • Issue truck stock purchase orders (POs).
  • Issue tool purchase orders (POs).
Contract Record Creation
  • Create and maintain accurate contract records for service agreements, ensuring all customer and service details are correctly captured and stored.
  • Create new sites.
  • Create equipment records.
  • Create PM schedule records.
  • Create PM task records.
  • Create PM material lists.
Contract Record Updates / Addendums
  • Update and amend contract records as needed to reflect changes in service agreements, including extensions, scope adjustments, and other modifications.
Requirements

For the role described, which involves a blend of customer service, communication, as well as administrative documentation and reporting, the following qualifications would be beneficial:
  • High school diploma or equivalent; post-secondary education in business administration, customer service, or a related field is a plus.
  • Minimum of two (2) years of experience in a customer service, administrative, or service coordination role, preferably in the HVAC or mechanical services industry.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with service management software.
  • Attention to detail and accuracy in documentation and reporting.
  • Ability to multitask and prioritize in a fast-paced environment.
