Position Summary:
Under the direction of the Branch Manager, this position's duties vary according to administrative needs. Administrative responsibilities include assisting in project initiation, processing field, and lab test reports, scheduling field activities, ordering field supplies, assisting with word processing edits, finalizing documents by following Company format and document filing. Performs other duties as assigned.
Job Responsibilities:
Coordinates field activities. Receive scheduling calls from contractors and clients and prepare field personnel for daily assignments
Processes field and laboratory test reports and confirms the information is accurate for billing
Maintains field equipment lists and calibrations
Sets up and attends meetings as requested
Assists with subcontractor/sub-consultant agreement and purchase order administration
Prepares purchase orders and/or check requests for project/site equipment and supplies; audits invoices to ensure they match purchase orders; forwards pre-bills and draft invoices to appropriate Project Manager for approval
Provides administrative support for Technical Groups. Operates word processing/excel software/equipment to produce proposals, reports, cost estimates, letters of transmittal, meeting minutes, and correspondence for the Technical Team Leader concerning milestones, deadlines, and special project considerations
Proofreads own corrections for typographical and grammatical errors during draft and redraft stages of report. Proofreads and checks typing accuracy of peer-reviewed final documents before mailing
Perform general filing and assist in covering reception desk duties
Special projects as required
Additional Qualifications/Responsibilities
Qualifications:
High school diploma or equivalent experience/capability
3 years office experience preferred
