DEPARTMENT PURPOSE: We partner and strengthen donor confidence through strategic communications and engagement opportunities that celebrate donor impact.

PRIMARY PURPOSE: The Events Assistant will provide proactive, collaborative, and comprehensive support for the Director of Donor Programs & Events and the Events team to increase the level of service the department provides to OSU's donors and our internal partners.

KEY AREAS OF FOCUS:

Develop and execute processes designed to support the Events staff in their efforts to steward and engage donors. - 50%

  • Attend planning meetings, as applicable, in order to support staff on upcoming events
  • Assist with various components of events such as event registration, RSVP management, and attendee communications (email and phone)
  • Assist with event and meeting set up and tear down to gain first-hand experience in putting on an event from start to finish
  • Assist the event coordinators with pre- and post-event documentation in the system database
  • P-Cards and Invoices
Preform administrative tasks for the Events team. - 40%
  • Create and maintain an up-to-date inventory of event materials and supplies
  • Prepare essential event materials including invitation mailings, table cards, name tags
  • Help with various athletics ticket packaging, mailing and distribution
  • Assist with answering the phone and Events E-mail account to ensure efficient response to customer needs
  • Manage golf cart reservations for internal and external inquiries
Manage information effectively and confidentially. - 10%
  • Master the use of internal systems, particularly ascend and Linvio Events, to retrieve needed data, to input new information and to answer questions from internal partners regarding various OSUF events.
  • Maintain confidential donor information stored in the OSU Foundation's donor database and archive systems. Prepare, enter and modify invitation lists, budget items, and post-event documentation.
Other duties as assigned.

JOB COMPETENCIES AND EXPERIENCE:

Education & Certifications-
  • Bachelor's degree required
  • Bachelor's degree in Hotel & Restaurant, Hospitality Management or related area preferred
Experience-
  • Minimum of two years of experience of full-time work in a professional environment; previous work experience in events planning, administrative, or project management is preferred.
  • Excellent oral and written communication skills
  • Must possess the ability to communicate and interact effectively with Foundation and University leaders, donors, staff, students and others in a professional manner.
  • Experience in completing detailed work, meeting tight deadlines, solving problems and managing concurrent tasks in a complex environment is essential. Proficient in Microsoft Office products

PHYSICAL REQUIREMENTS: Must use a computer terminal and view a computer screen for extended periods of time. Must talk in person or by phone (frequently and sometimes for extended periods) to people on campus and across the country. Must constantly use visual acuity to check printed and designed materials of various types. Must be able to navigate within the OSU Foundation. Some lifting required in event set-up: tables, chairs, etc. Typical office working conditions.
