Must have ability to operate word processing equipment and/or personal computers. Must have the ability to determine work priorities.

Essential Duties:

  • Perform a full range of legal secretarial and administrative duties in support of assigned attorneys and the ongoing operations of the office.
  • Arrange travel for assigned attorneys (includes scheduling transportation and making hotel reservations).
  • Answer telephones for assigned attorneys.
  • Assist covering reception phones when needed.
  • Produce legal documents such as correspondence, pleadings, briefs, opinions, complaints, administrative decisions, orders and subpoenas from verbal or written instructions, dictation, notes, rough drafts or other materials which may be difficult to interpret and/or format.
  • Proofread and correct prepared materials for correct grammar, spelling, punctuation, format, syntax and content.
  • Input, retrieve and update information using computerized databases.
  • Sort, open, log and distribute incoming mail.
  • Prepare trial notebooks and exhibit listings.
  • Prepare and assemble materials, documents and exhibits for meetings, court appearances and hearings.
  • Establish and maintain office files.
  • Enter attorney billable/nonbillable time into Intapp for assigned timekeepers.
  • Schedule and maintain calendar of activities for assigned attorneys.
  • Download documents from electronic court filing systems, combine downloaded documents and save to documents management system.
  • Liaison between assigned timekeepers, employees of the firm, clients and interested outside parties.
  • Build and maintain customer relationships with clients and vendors.

Knowledge/Skills/Abilities:

  • MS Word, Word Styles and generation of Tables of Contents and Authorities.
  • Adobe Acrobat, Excel, PowerPoint, Chrome River, Intapp, Litera, Best Authority, Concordance, iConnect, and Compulaw.
  • Federal, state and local rules, court filing procedures, e-filing and service of process.
  • Correct English usage, spelling, punctuation and legal terminology.
  • Office organization, workflow and procedures.
  • Organization and maintenance of filing systems related to the work.
  • Forms used in the legal work environment.
  • Legal terminology and syntax.
  • Possess confidentiality, initiative and sound decision-making skills.

Experience Requirement:

  • Five (5) years of Intellectual Property, Bankruptcy, or Litigation Legal Secretarial experience.
  • Advanced word processing/computer skills. Typing skills 75-95 wpm.
  • May obtain and keep current a Notary Public Commission certificate (paid by the Firm). Education:
  • High School Diploma or related legal secretary experience

Working Conditions:

  • Office environment.
  • Will require working under pressure, performing multiple tasks and meeting deadlines.
  • Overtime will be required as needed.
