*Program Assistant applies professional expertise and support in the Family Services/Front Desk areas and provides clerical and reception support for the administrative and program staff of the Foundation, including answering telephones, greeting visitors, making appointments and referrals, keying, and filing.*

**RESPONSIBILITIES/DUTIES** (including but not limited to): Provides coverage to Suite 100 Front Desk team for lunches, absences or schedule modifications. Suite 100 Front Desk duties include (but not limited to):

+ Greets and refers clients and visitors;

+ Answers main telephone system, makes referrals, takes messages, and directs incoming calls appropriately;

+ Types and/or reproduces reports, forms, correspondence, checks, grants, and other material as generated by Foundation staff. Proofreads all work for accuracy and neatness;

+ Duplicates, collates, and prepares for mailing Foundation reports, lists, correspondence, grant, etc.;

+ Maintains Foundation copy and fax machines;

+ Assists with pre-screening clients for all SCF program options;

+ Sets appointments up for family advocates in the EHS program for intake assignments

+ Assists with Spanish/English translations both verbal and written * Demonstrate, uphold and adhere to Sunrise Childrens Foundations core values of Mutual Respect, Integrity, Commitment, Trustworthiness and Empowerment

* Uphold and adhere to SCF Safety Program responsibilities including attending

training sessions (online/virtually), reporting hazards using correct procedures and when asked clean up of

spills or other safety concerns.

* Provides administrative support to multiple program departments including (but not limited to) Family Services, Health Services, and Home Visiting. Program duties include (but not limited to):

+ Types and/or reproduces reports, forms, correspondence, checks, grants, and other material as generated by Foundation staff. Proofreads all work for accuracy and neatness;

+ Duplicates, collates, and prepares for mailing Foundation reports, lists, correspondence, grant, etc.;

+ Maintains Foundation copy and fax machines;

+ Assists with pre-screening clients for all SCF program options;

+ Sets appointments up for family advocates in the EHS program for intake assignments;

+ Checking out SCF fleet vehicles to SCF personnel

+ Assists with Spanish/English translations both verbal and written

* Executes the Suite 200 Front Desk duties when not needed to cover Suite 100 or support Family Services, Home Visiting, Health or Eligibility. Suite 200 duties include (but not limited to):

+ Greets and checks in all visitors and vendors to the 2nd Floor;

+ Contacts the correct department and/or person to announce visitors arrival;

+ Answers the Suite 200 telephone system, takes messages, and directs incoming calls appropriately;

+ Signs for all shipments and contacts Purchasing Coordinator to inform of shipment arrival;

+ Takes mail from Suite 200 to Suite 100 Program Assistants for distribution

+ Types and/or reproduces correspondence or other materials generated by the Program Management or Administration team;

+ Duplications, collates, and prepares correspondence or other materials as directed by Program Management and/or Administration;

+ Assists with maintaining Program Management or Administration copy & fax machines;

+ Assists with on-boarding or pre-employment meetings as needed;

+ Assists with Spanish/English translations both verbal and written

+ May perform other duties as deemed necessary by Program Management or Administration Teams.

* Must be able to work for long periods of time while maintaining concentrated attention to detail.

* Must be able to sit a table or desk for long periods of time with occasional standing, walking, squatting or reaching.

* Must be able to lift, carry, push, pull or otherwise move objects weighing up to 50 pounds with or without material handling equipment

* Must have manual dexterity to use office equipment including but not limited to a copier, computer key board, or phone key pad

* Must have the ability to hear and speak face to face, over telephone or in virtual meetings

* Must pass pre-employment and random drug/alcohol testing and maintain a drug-free workplace

***Education & Work Experience***

+ High school graduate or equivalent is required

+ 6 months of clerical work experience is required

+ Bilingual (English-Spanish) speaking and writing skills essential ***Skills & Abilities***

+ Must maintain a positive, open an objective attitude towards others

+ Must be able to accurately type.

+ Must have a good working knowledge of English, grammar, punctuation, spelling style, etc.

+ Must have the ability to operate standard office machines such as computers, tablets, printers, copiers, etc.

+ Must have basic knowledge of Microsoft Office (Word, Excel, Outlook) programs.

+ Must have the ability to answer telephones and greet the public in a friendly and courteous manner.

+ Must have the ability to perform assigned duties with a minimum of supervision; identify problems and recommend solutions; interpret and apply policies and procedures within limits of authority.

+ Must have the ability to interact with tact and discretion with supervisors, officials, employees, and the public.

+ Ability to speak in a clear and understandable manner and write legibly using the English language is a requirement.

+ Ability to maintain the highly confidential nature of incoming paperwork is a requirement.

+ Must obtain a Las Vegas Metropolitan Police Department Work Card (Sheriffs Card) and a North Las Vegas Work Card (Sheriffs Card) for Child Care prior to hire date and maintain for duration of employment

+ Must submit negative TB results (One-Step Skin Test or Chest X-Ray) prior to hire date and duration of employment

+ Must have a physical performed and document submitted prior to hire date and maintain for duration of employment

+ Must acquire CPR/First Aid Training for Infant/Child/Adult within ninety (90) days of hire date and maintain through duration of employment

+ Must pass pre-employment drug/alcohol testing. + 1 year of clerical work experience preferred

+ Previous experience as receptionist or first point of contact for busy office or clinic is useful

+ Some College helpful
