Summary:

Partner Engineering and Science, Inc. is looking to hire an Executive Assistant in our Edina, MN office. The Executive Assistant will be involved in all aspects of the hiring executive day-to-day business activities. Your main function will be to provide an organized work environment for the hiring executive by distributing, tracking and maintaining information while implementing appropriate organizational systems. Other core tasks include managing a detailed schedule and calendar, coordinating travel plans, and liaising with key staff and clients.

Responsibilities:
  • Provide Sales Support to the hiring executive, including preparing proposals, fielding client follow-up/questions and preparing documents/presentations for team meetings.
  • Manage the hiring executive's calendar using judgment and experience to schedule meetings and resolve scheduling conflicts.
  • Act as Liaison to all support groups including Marketing, HR, Sales, and Accounting.
  • Manage confidential client, financial and employee information with discretion.
  • Provide a high level of customer service to clients, vendors, staff and visitors.
  • Prepare and distribute a wide variety of routine correspondence.
  • Prepare the hiring executive's expense reports.
  • Follow-up with other staff members on tasks delegated by hiring executive to ensure progress.
  • Coordinate travel arrangements. Compile documents for travel-related meetings.
  • Meet and greet external visitors in a courteous and professional manner.
  • Assist in organizing and planning of company-sponsored events.
  • Perform general administrative duties including but not limited to reviewing and responding to mail, filing, photocopying, faxing, answering telephone calls.
  • Perform other assignments/random tasks as required.

  • Minimum 5 + years' experience working directly with executive leadership
Physical Requirements:
  • Must be able to read, write, speak and comprehend English
  • Must be able to communicate clearly in person or over the telephone
  • Visual acuity adequate to perform job duties, including reading information from printed sources and computer screen

COMPENSATION

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. A reasonable estimate of the current range is $45,000 to $60,000.

You may also be eligible to participate in a discretionary annual incentive program, whereby an award, if any, depends on various factors, including, without limitation, individual and organizational performance.
