Job Summary: We are seeking a detail-oriented and organized HR Administrator to join our Human Resources team. The ideal candidate will be responsible for a variety of administrative duties, as well as coordinating onboarding processes, managing I-9 documentation, maintaining new hire checklists, and ensuring compliance with proper channels. Additionally, this role includes arranging travel accommodations such as flights, hotels, and meals for employees. Essential Duties: Administrative Support: Perform general administrative tasks, including answering phones, managing calendars, filing, and handling correspondence. Assist with HR-related inquiries and provide support to the HR team as needed. Maintain and update employee records and databases. Onboarding and I-9 Documentation: Coordinate and facilitate the onboarding process for new hires, ensuring a smooth transition into the company. Prepare and distribute onboarding materials and documentation. Verify and process I-9 documentation, ensuring compliance with federal regulations. New Hire Checklists and Compliance: Develop and maintain new hire checklists to ensure all onboarding steps are completed. Conduct background checks and verify references as part of the hiring process. Ensure all new hires have been properly vetted and checked through appropriate channels. Travel and Accommodation Arrangements: Arrange travel accommodations, including booking flights, hotels, and transportation for employees as needed. Coordinate meal arrangements and other logistics for employees traveling on business. Manage travel expense reports and ensure compliance with company travel policies. Communication and Coordination: Serve as a point of contact for new hires, providing information and answering questions related to onboarding and HR processes. Coordinate with other departments to ensure new hires have the necessary resources and access to systems. Maintain effective communication with employees and managers regarding HR-related matters. Qualifications: Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred. Minimum of 2 years of experience in an HR support role. Strong understanding of HR processes and compliance requirements. Excellent written and verbal communication skills. Exceptional organizational skills and attention to detail. Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. Proficiency in Microsoft Office Suite and HR information systems (HRIS). High level of professionalism and the ability to handle confidential information discreetly. Physical Requirements: Office environment with normal business hours necessary to satisfactorily perform job functions. Stand/Sit – Must be able to remain in a stationary position up to 50% of the time. Walk – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. Use of hands/fingers to handle or feel – Constantly operates a computer and other office machinery such as a copy machine/printer. Climbs stairs – May occasionally ascend/descend the stairs to get to other floors, cafeteria, and parking area.
