Responsibilities:

Job Summary

To provide administrative support to managers and supervisors in the Rehabilitation department. Will lead and supervise Administrative Assistants workflow and day to day responsibilities.

Position Functions and Responsibilities

  • Responsible for recruitment and supervision of Administrative Assistant of Rehab in cooperation with Clinical Manager. Responsible for performance evaluation and monitoring the progress of this unit. Reports to Clinical Manager of Rehabilitation
  • Motivates staff to achieve high level of patient care
  • Delegates tasks and functions to appropriate team members
  • Responsible for supervision of weekly completion of Saturday Program Schedule
  • Schedules Rehabilitation appointments and enters data in scheduling system.
  • Assists with collection, organization, internal filing, and copying of Rehabilitation documentation.
  • Verifies insurance authorization prior to scheduling all appointments inclusive of Saturday aquatic program.
  • Follows up with all no show in a timely manner.
  • Confirms therapy appointments as needed.
  • Notifies Director, Managers, and all appropriate staff of impending expiration of services.
  • Assists with maintaining treatment plan records.
  • Maintain transportation logs, obtains and faxes prescriptions, and follows up with phone call to secure transportation for patients.
  • Assists with answering the phone in the absence of Medical Administrative Supervisor
  • Assists with translation involving Spanish speaking patients/parents as needed.
  • Management and communication of therapists schedule
  • Will manage patients concerns regarding daily schedule
  • Takes messages as required or redirecting call when appropriate.
  • Coordination of all physician requests regarding scheduling.
  • Assists with answering phones in absence of Medical Secretary.
  • May be asked to perform other tasks from time to time as determined by administration.
  • Comply with established ESCR policies and procedures re: quality assurance, safety, environmental and infection control, confidentiality of patient information, customer service, attendance, punctuality, dress code, professional conduct, annual health assessments etc.
Qualifications:

Education Requirements:

  • High School/GED Required-College Degree preferred

Experience:
  • Minimum 2 years of experience in office related skills
  • Experience working in a pediatric clinic
  • Competent PC skills, including word processing, Excel spreadsheets (Microsoft office environment).
  • Bilingual a plus

Hourly Rate:

$27.69/Hr.
