Position Summary

Reporting to the HSE Director, the Corporate HSE Coordinator supports HSE departmental goals and operations. This role offers detailed administrative and safety policy implementation support to both district and corporate operations.

Essential Responsibilities, includes but are not limited to

+ Promote excellent customer service when supporting internal and external customers of the Safety department.

+ Act as the department resource and first point of contact for non-emergency employee inquiries.

+ Ensure timely response and tracking of assigned employee, safety/risk vendor and customer inquires as well as pre-qualification HSE organizations (ISNetWorld, Browz, Avetta, etc).

+ Assist in drafting HSE correspondence and other formal documents accurately in support of HSE policies and business development inquires.

+ Follow-up on pre-employment screening requests and share results with HR and HSE Director in a timely manner.

+ Participate in routinely scheduled facility safety meetings weekly.

+ Maintain Safety related employee files, including Workers Compensation injuries & status updates, new hire safety requirements and safety training requirements.

+ Assist District Offices with updating DOT driver qualification files.

+ Assist District Offices with fleet vehicle tracking system

+ Communicate with insurance broker to request updated insurance certificates as necessary.

+ Assist District Offices with online employee registration at local safety councils.

+ Perform additional clerical duties such as photocopying, faxing, filing and collating.

+ Assist management with additional duties as assigned.

Qualifications

+ Associates Degree or equivalent experience required; safety-related degree preferred

+ 5 plus years administrative assistant or coordinator experience supporting a department. HSE or Quality department experience preferred.

+ 3 plus years vendor/supplier management software experience required. ISNetworld, Avetta and/or Browz preferred.

+ 1 plus year third-party insurance coordination experience preferred.

+ Recordkeeping experience.

+ Drug or background screening system experience preferred. - DISA and Veriforce preferred.

+ Proficiency in MS Office Suite Excel, Word, PowerPoint and Outlook required.

+ Technical writing experience preferred.

+ Strong written and verbal communication skills.

+ Ability to work under pressure and communicate with all employee populations and management.

+ While performing the duties of this job, the employee is required to be in a stationary position over 90% of the time. Must be able to converse verbally to exchange accurate information. Must be able to visually scan documents in detail to detect and identify needs. The employee must occasionally lift and/or move up to 10 pounds.

+ This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full time - direct hire employment opportunity. The employee must be willing to work weekends and holidays as needed. Additional hours may be needed. On-call availability required.
