Essential Responsibilities:
  • Project and timeline management:
    • Responsible for operating event management software and managing/monitoring event timelines
    • Collaborate with the marketing team project management specialist to ensure key event milestones for marketing support deliverables are entered in the marketing team's project management system
  • Assist Event Managers with 100+/- events annually
  • Assist with set-up and tear-down for events
  • Manage member entertainment opportunities for corporate suites including coordination with key stakeholders, promotional items, and catering logistics
  • Take ownership of additional events and projects as assigned
  • Manage general administrative tasks such as:
    • Coordination of event invitation mailings, including mail merge, de-duping, proofing, printing, and mailing
    • Complete application process for permits and licenses for events
    • Maintain linens, arrange for cleaning, inspect for damage
    • Work closely with Facility Attendant to inventory and order event supplies
    • Maintain order and inventory in event storage areas
  • Schedule is flexible based on event schedule and Marketing department needs
  • Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).
  • Other duties as assigned
Minimum Required Skills or Competencies:
  • 5+ years of professional, full-time experience in event planning/hospitality industry
  • Must be willing to work some evenings and occasional weekends. Some travel required. Minimal overnight travel required.
  • Ability to maintain calm, professional demeanor in high-paced, high-volume work environment
  • Demonstrate strong organizational skills with ability to prioritize, follow through, and meet deadlines with a strong sense of urgency
  • Ability to manage multiple, simultaneous projects and demonstrate flexibility in handling work assignments
  • Excellent computer skills, including Microsoft Office programs Word, Excel, Power Point, etc.
  • Must be able to lift 25 pounds
Desired Skills or Competencies:
  • Bachelor's Degree in Event Management, Hospitality or Marketing, or related fields
Physical Requirements:
  • Express or exchange ideas by means of the spoken word via email and verbally
  • Exert up to 25 pounds of force occasionally, use your arms and legs, and sit most of the time
  • Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation
  • Not substantially exposed to adverse environmental conditions
