Description
Overview:
To represent the company in a professional manner when greeting customers and the general public on the phone or in person, ensuring that they are directed to someone who can provide them with assistance.
Responsibilities:
- Greets the customer when they come into the company, determines their needs, and directs them to the appropriate person
- Answer and direct phone calls in a polite and friendly manner
- Performs designated clerical duties and maintains assigned records, filed, and reports
- Supports overflow needs within the department as time allow
- Maintain confidentiality of all customer files and proprietary (physical, electronic, intellectual) Bank property
- Answer all incoming calls and handle callers inquiries whenever possible, directing customers to the correct department/individual, as needed
- Greet, assist and/or direct customers, visitors, vendors, and the general public
- Receive, direct and relay telephone messages and fax messages
- Direct all visitors to the appropriate staff member
- Sort the mail
- Stock and maintain the lobby of coffee station
- Arrange fresh floral display on a weekly basis
- Assist with opening/closing of Lake Country Discovery Museum

- Direct visitor to sign-in and connect visitors with appropriate museum resources
- Assist with events/receptions, when not interfering with receptionist responsibilities

- Monitor the appearance of facilities to ensure they are consistent with the Banks culture/brand
- Assist with planning and execution of customer/employee events
- Annual Events, such as: Masters Customer Reception, Holiday Customer Reception, Employee Holiday Party, BankSouth Kick-off event and additional activities
- Ad Hoc Events, Golf Tournaments, etc.
- Assist Business Development Officer with identifying and coordinating appropriate volunteers to attend local events as BankSouth representatives
- Customer Service Ambassador Duties:
- Document and role model BankSouth s customer service delivery expectations
- Participate in onboarding new hires to ensure consistent customer service standards
- Prepare sample letter templates as a guide for colleagues (e.g., thank you for your business)
- Visit bank branches and customer care on a quarterly basis to share customer service best-practices and reinforce a customer service culture
- Serve as boots on the ground local media liaison and direct all published copy and official contact to the Marketing Department
- Track and disseminate examples of memorable customer service via BankSouth communication channels, e.g., newsletters, WOWs, etc.
- Assist departments and staff as requested
- Other duties as assigned
- Maintaining security by following procedures
- Ensure compliance with all applicable state and federal banking laws & regulations
- Maintain confidentiality of all customer files and proprietary (physical, electronic, intellectual) Bank property
- Satisfactorily complete all required Bank Secrecy Act/Anti-Money Laundering/OFAC compliance training and complies with all regulations which apply within the scope of the position
- Satisfactorily perform all the required duties of the position and meet the performance standards of the position based on metrics for measurement of performance that are specified
Experience & Education:
- A high school degree or GED Is required. At least 1 year of experience in a customer service role, preferably one in a front desk/receptionist role is desirable.
- Ability to work well with customers and coworkers
- Basic familiarity with bank products and services
- Ability to handle pressure in customer situations
- Possess strong analytical capabilities, effective verbal and written communication skills, and excellent organizational and time management skills
- The ability to successfully work as member of a team
Other Requirements:
Satisfactorily complete all required compliance training and compliance with all laws and regulations that apply based on the scope of this position.
Interpersonal Skills:
Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/or outside the organization, generally regarding routine matters for purposes of giving and obtaining information, as well as advising or referring, which commonly require shorter discussions.
Physical Requirements:
Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 25 lbs. Must be capable of climbing/descending stairs in an emergency. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable, and timely attendance.
Working Conditions:
Must be able to routinely perform work indoors in climate-controlled shared work environment with moderate noise.
Mental and/or Emotional Requirements:
Must be able to perform job functions independently and with limited supervision. Must work effectively as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be able to perform basic financial calculations with accuracy. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under stress of deadline, requirements for extreme accuracy and quality and/or fast pace. Must be capable of exercising highest level of discretion on confidential matters.
