The coordinator is responsible for providing exceptional customer service through various organizational and administrative tasks.Client supportGreeting clients and patients, answering telephones, returning voicemails, addressingwalk-in inquiries, and processing over-the-counter salesManaging hospital schedule. Making and confirming appointments, as well as placing reminder calls to clientsOffering educational information and coordinate appropriate for special needs clientsManaging lobby wait times and trafficManaging electronic medical records, reports, and email correspondenceCoordinate surgery drop-offs, check-in, and check-out with medical personnelPresenting and explaining cost of services or fees to ensure transparencyOperational supportFiling and maintaining patient medical records. Entering information correctly inDaySmart database to ensure all required documentation is accounted forProcessing approved payment methods per hospital protocol (cash, credit card, etc.)Processing end-of-day paperwork, financial reconciliation, and daily cash drawer depositsMaintaining cleanliness of the lobby and front deskCoordinates with Hospital Manager for special food orders, client concerns, financial discrepancies, or other matters as appropriateManaging front desk office supplies and needsProvides support as needed for medical staff and managementQualificationsSkills and abilitiesExcellent verbal and written communication skillsAbility to actively listen and problem solve in real time with new informationMulti-tasking skills and the capability to prioritize tasksBi-lingual (English-Spanish) is a plusProven decision-making skillsDesire to work with people and animalsStrong interpersonal skills and a willingness to be collaborative with peersStrong work ethic and ability to remain consistent and accurate in a fast-paced environmentProficient at computer programs, including Microsoft Office and database management software (DaySmart)Ability to build meaningful relationshipsAbility to maintain professionalism and confidentiality by applying mature judgement and discretionDesire for continued learning and to share knowledge with othersAttentive and detail orientedQualifications and RequirementsHighschool diploma or GEDMinimum one-year in a customer service positionMust maintain a professional appearance at all timesReliable, and punctual attendance is requiredAbility to work holiday shifts, weekends, and evenings as neededWorking conditionsPerforms work in a hospital/office settingPotentially subject to animal bites and scratchesPhysical efforts that require standing, bending, reaching, stooping, squatting, and lifting, pulling, or pushing up to 50 lbs. with reasonable accommodation, and ability to work in a noisy environment.
