Job Description

Under direction of executive or senior leadership, serves as Senior Executive Secretary with considerable latitude of initiative and judgment. Performs highly confidential and exceptionally difficult, complex and responsible secretarial work. May perform designated administrative assignments and serve as a confidential aide.

GENERAL TASKS AND RESPONSIBILITIES WILL INCLUDE:
  • Takes dictation and makes transcription of important, complex and/or highly confidential material. Uses shorthand or transcribing machine.
  • May take minutes of proceedings, conferences, and meetings, prepares agendas and makes necessary arrangements.
  • Screens and determines priorities of telephone calls, messages, and incoming materials and routes to appropriate personnel and/or agencies.
  • Prepares and/or edits correspondence and confidential reports. Maintains all private and confidential files. Responsible for informing senior staff of all appointments and conferences.
  • Participates in and/or relieves health care executives of administrative duties, and performs the usual duties of a secretary acting in a highly responsible capacity requiring knowledge of NYC Health + Hospitals' policies, practices, and procedures.
  • Performs research to compile and arrange data for consideration and determination of policy questions.
  • May supervise administrative/clerical personnel assigned to the office. Plans and reviews work assigned.
  • Makes confidential contact with health care executives and serves as liaison between senior leadership within NYC Health + Hospitals, external offices, and/or agencies.
  • Performs related work, as assigned.
Minimum Qualifications
1. a. High school diploma or educational equivalent; and five (5) years of clerical experience including two (2) years as a stenographic secretary; or,
b. A baccalaureate degree from an accredited college or university, and one (1) year of experience as a stenographic secretary; or,
c. An associate degree with specialization in Secretarial Science and three (3) years of clerical experience, one year of which shall have been as a stenographic secretary.
2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details, and to maintain confidentiality of all executive and health care system matters.
3. High level verbal, written, and secretarial skills and knowledge required; or,
4. A satisfactory combination of education, training, and experience.
