About the Role - Senior Executive Assistant

We are looking for an experienced Senior Executive Assistant to work directly with our CEO. You'll be responsible for managing their calendar, triage for important matters, and handling internal and external communications. This role is critical in ensuring the CEO's time is effectively managed and that operational tasks are handled seamlessly.

The ideal candidate is a self-starter, comfortable working independently, and curious about the intersection of technology and marketing. This is a unique opportunity to be right in the thick of a dynamic, high-impact team and a chance to learn more about how companies at the cutting edge of AI technology operate.

What you'll do:
  • Scheduling Management: Manage scheduling and calendar for the CEO, including internal and external meetings, ensuring there are no conflicts and that time is used efficiently.
  • VIP Follow-ups and Stakeholder Communication: Ensure seamless communication and follow-up with key stakeholders such as VIP contacts, recruits, sales prospects, press, and investors. This includes managing correspondence, scheduling follow-up meetings, and ensuring timely responses to all inquiries.
  • Communication Management: Handle internal and external communications, drafting emails, memos, and other documents as needed. Maintain an organized communication system to ensure nothing falls through the cracks.
  • Cross-Functional Collaboration: Work seamlessly with other team members across the company to ensure smooth operations and support for the CEO.
  • Travel Coordination: Arrange travel logistics for the CEO and handle ad hoc tasks proactively.
What will help you succeed:
  • Experience: At least 4+ years as an Executive Assistant or in an operations/support position.
  • Support: Experience supporting senior executives with proactive, high-velocity leadership styles.
  • Communication: Strong verbal and written communication skills. Demonstrated ability in writing is highly valued.
  • Organizational Skills: Excellent organizational, project management, problem-solving skills, and multitasking abilities.
  • Bonus: Familiarity with the speed of startups and the technology sector is a plus.
Location: Our headquarters are located in SoMa in San Francisco. We operate on a hybrid schedule, in-office in our SF HQ three days a week.
