Job Description Summary
The Workplace Services Coordinator is a key part of the Corporate Real Estate & Workplace Services (CREWS) team in optimizing the employee experience at Enterprise office locations, principally in the Mid-Atlantic region, via the exceptional delivery of workplace services. Services include mail, copy & print, caf & food & beverage, meeting room support and related office upkeep. The incumbent requires strong customer service and organizational skills, along with the ability to manage competing priorities in a fast-paced environment.

The incumbent will be based in the Columbia HQ office and conduct day trips to Mid-Atlantic offices (Baltimore, Silver Spring, Washington DC) on a periodic basis to support office management and administrative personnel in the delivery of workplace services. It is not expected that trips outside of the Mid-Atlantic region will be required.

The job is conducted on-site.

Job Description

Responsibilities:

Maintain kitchens and caf areas by:

  • Managing inventory, ordering, and restocking supplies.
  • Ensuring kitchens are tidy, coffee appliances are sanitary, and all equipment is functional.
  • Notifying appropriate team member or vendor via designated processes when services are required. Coordinates activities of vendors and ensures satisfactory completion of work.
  • Completing monthly verification of fire extinguishers, replacing when necessary.
  • Ensuring waste and recycling programs are promoted and adhered to.
Maintain mail room, copy areas & conference rooms by:
  • Managing inventory and restocking paper supply and toners for each copier.
  • Cleaning copier glass to ensure best quality of copies.
  • Refilling all paper trays to ensure minimum disruption and continuous copying and printing for all users.
  • Ensuring all areas are tidy and free of clutter.
  • Monitor and communicate alerts and error codes on copiers immediately to the vendor for quick service to reduce downtime.
  • Checking copier and break room equipment when service request has been made by our customers. Notify vendor to coordinate service.
  • Act as the Point of Contact for all arriving service vendors responding to service requests and escort to the appropriate area. Ensure all work is satisfactorily completed.
Maintain huddle rooms and conference rooms by:
  • Completing daily checks of huddle and conference rooms, confirming functionality, stocking, and cleanliness.
  • Submitting work orders for any required actions; ensuring all work orders satisfactorily completed.
  • Working with housekeeping personnel to ensure rooms are tidy for special events.
Oversees invoice processing for services activities:
  • Receives, reviews and verify invoices for accuracy, and completeness for mail services, offices services, and printing services.
  • Enter invoice information into Workday for payment.
  • Resolve any discrepancies or issues with invoices, related to pricing or missing information.
  • Monitor and track invoice payments to ensure timely and accurate processing.
  • Respond to vendor inquiries and resolve any payment-related issues in a professional and timely manner.
Coordinate delivery of Mail Services:
  • Maintain inventory of mail services supplies including stationary, binding supplies, etc.
  • Contact and coordinate service for out of service equipment.
  • Receive, sort, pick-up and distribute mail at designated stations.
  • Operate FedEx equipment to process all incoming and outgoing packages; ensure inbound packages are picked up by employees and outbound packages are sent in a timely manner.
  • Operate postage machine and maintain working knowledge of US Postal rates, rules and regulations.
  • Provide copier meter reads to vendor when requested.
  • Monitor Postage funds and request and load additional funds when required.
  • Maintain work logs for equipment service, duplication requests, courier requests, etc.
  • Ensure stock room is organized and supplies are readily available.
  • Participate in CREWS managed functions and events such as the Enterprise annual day of service.
  • Provide backup support to corporate receptionist as required.
  • Works with housekeeping to prepare New Hire workstations with name tag and ensure space cleaned.
  • Maintains New Hire and Term Reporting.
Assist with light office maintenance services:
  • Conduct routine inspections of the Columbia office to identify any maintenance issues.
  • Troubleshoot and diagnose office maintenance issues and determine the best course of action to resolve.
  • Order and maintain inventory of necessary tools, equipment, and supplies.
Qualifications and Skills:
  • High school diploma or equivalent is required, 2+ years related experience, preferably in a copy/mail center environment.
  • Proficient typing skills and working knowledge of MS Word, Outlook and Excel required. Knowledge of Power Point and Adobe Acrobat is a plus.
  • Excellent grammar, editing and proofreading skills.
  • Demonstrated telephone and interpersonal skills to represent company to all parties.
  • Demonstrates professionalism, diplomacy and composure and is flexible and able to adapt to a variety of situations.
  • Ability to perform multiple tasks and routine administrative duties, as requested, in a fast-paced environment.
  • Ability to work independently with minimal supervision and take responsibility for moving tasks forward.
  • Proven experience as a handy-person or in a similar maintenance role.
  • Proficient in using a wide range of tools and equipment.
  • Good physical stamina and manual dexterity.
  • Strong organizational skills and ability to coordinate complex activities prioritize conflicting demands and meet deadlines.
  • Must be highly motivated, be able to work independently and possess strong written and oral communication skills.
  • Incumbent is expected to demonstrate strong ethics and professionalism in interpersonal relations and work as an effective collaborative team member.
  • This position requires mandatory overtime as directed and approved by direct manager.
Physical Demands/Working Conditions:
  • Must have ability to lift up to 50 lbs.
  • Must be on feet for up to 4 hours at a time.
  • Ability to work under stress/pressure.
  • Ability to work in a fast-paced environment.
  • Must be flexible and able to adapt to change.

The salary range for this position is represented by the low and high end of the range for the amount to be paid for the position.
