The HR Coordinator supports the Talent Acquisition Manager and HR team by coordinating various HR functions, including benefits administration, recruitment activities, HRIS management, and employee onboarding and offboarding processes. This role requires a proactive approach to managing HR operations, ensuring a seamless experience for employees, and maintaining compliance with company policies and regulations.

Essential Job Duties:

Benefits Administration:
  • Administer and maintain company benefits programs, ensuring compliance with policies and regulations.
  • Manage benefits invoice reconciliation with vendors to ensure accurate billing.
  • Inform and guide employees on benefits eligibility, coverage, and provisions.
  • Compile and maintain benefits records and documentation.
  • Assist employees with inquiries and questions regarding benefit programs.
  • Handle Benefits Continuation Payments.
Recruitment Coordination:
  • Support the Talent Acquisition Manager with full-cycle recruitment activities.
  • Assist in posting job ads, scheduling interviews, and maintaining candidate communication.
  • Manage relationships with external recruitment agencies.
  • Coordinate and participate in recruitment meetings with hiring managers as needed.
HRIS (ADP WFN) Administration:
  • Execute onboarding, offboarding, and status changes in the HRIS (ADP Workforce Now).
  • Respond to employee inquiries related to HRIS matters.
  • Generate ad hoc reports for HR leadership.
  • Handle "ADP - Things to Do" tasks.
Onboarding Administration:
  • Process all new hire documents for all counties, facilitating the pre-employment process and collecting necessary forms to upload into ADP WFN.
  • Participate in New Hire Orientation and support both virtual and in-person sessions by preparing and organizing all required meeting materials.
  • Track all new hires through the preboarding and onboarding process.
  • Collaborate with hiring managers to ensure a smooth and positive onboarding experience for new employees.
  • Enter new hires into Barkley.
Offboarding Administration:
  • Communicate with management, employees, and relevant departments (e.g., payroll, IT, revenue cycle) during offboarding processes.
  • Process separation paperwork and packages for departing employees.
HR Communication and Support:
  • Manage and respond to HR-related inquiries and emails promptly and professionally.
  • Provide accurate information to employees regarding HR policies, benefits, and other HR-related matters.
  • Administer EDD Forms (all types) and ADPSUI, both online and hardcopy.
  • Manage employment verifications (all types), both online and hardcopy.
  • Administer legal posters, ensuring compliance with regulations.
  • Manage employee engagement platforms as needed.
Special Projects and Reporting:
  • Participate in various HR projects, including audits, acquisitions, open enrollment (OE) processes, and HRIS projects.
  • Collaborate with HR team members to ensure successful project implementation and completion.
  • Reconcile department credit card expenses and maintain accurate records for financial tracking.
  • Assist in organizing company-wide events and activities.
File and Record Management:
  • Manage and maintain employee personnel files in an organized and confidential manner.
  • Handle filing, mailing, and scanning of HR documents to ensure efficient record-keeping.
Required education and experience: The requirements listed below are representative of the knowledge, skills, and/or ability required.

Minimum Education (or substitute experience) required:
  • High school diploma or equivalent; additional specialized training or certification in HR is a plus.
  • AA in business administration, human resources, or another related field.
  • 2-3 years of relevant experience in HR operations, benefits administration, and HRIS management.
Minimum Knowledge and Skills Required:
  • Proficiency in using HRIS systems, particularly ADP Workforce Now.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills to effectively interact with employees at all levels.
  • Discretion and respect for handling confidential employee information.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Ability to work independently and within established procedures.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, etc.).
  • Experience with benefits administration and recruitment coordination preferred.
  • Comfortable addressing basic tech issues and working closely with the IT team.
  • Ability to pivot and reprioritize quickly in a changing environment.

Expected Hours of Work:8-5pm

Workdays: M-F

Travel: 10%
