Job Description

The National Events Director serves to plan, promote, and execute our national FCA events with excellence. They will provide planning and logistical support for special events, collaborating with Support Center and Executive teams, along with other internal or external resources, as necessary. The National Events Director will oversee both internal FCA events, such as Realtime, and external events, including Legacy Weekend and major Advancement Pillar events. Each of these events should drive toward strong communication of our vision and direction, while also highlighting our financial needs for our external events specifically.

MINISTERIAL DUTIES

These responsibilities are critical to the FCA Mission, and this position plays a vital role in our ministry. FCA expects all functions and responsibilities outlined below to be carried out with a heart surrendered to serving God as a form of worship.

  • Agree with, and abide by, FCA's Christian Community Statement.
  • Follow a spiritual rhythm including daily prayer and Bible study to seek the Lord's will for FCA.
  • Lead, conduct and provide spiritual leadership for staff, volunteers, coaches and athletes through prayer, Bible study, worship and living by example so they are equipped to serve others.
  • Connect to and participate in a local church through worship and weekly involvement.
  • Conduct yourself in a manner that affirms biblical standards of conduct in accordance with FCA's Christian beliefs (see FCA's Christian Community Statement for details) at all times.
GENERAL
  • Develop rapport with teammates and vendors.
  • Establish and maintain relationships as well as negotiate contracts with vendors and venues.
  • Clear interpersonal communication skills and a professional demeanor.
  • Ability to quickly adapt in a dynamic workplace environment.
  • Maintain a working knowledge of the complex needs of a wide variety of events.
  • Develop and presenting executive summaries to gain feedback from executive team for guidance and approval
EVENT PLANNING
  • Collaborate with FCA leadership to draft a high-level structure for each event assigned.
  • Plan event experience details including, but not limited to production, dining, worship, recreation, and guest experience.
  • Coordinate teams and assign tasks to event staff.
  • Coordinate the detailed planning with vendors/event centers.
  • Coordinate film/video companies and athletes/coaches who are involved with the events.
  • Establish the event registration process through approved FCA tools.
  • Create reliable budgets (revenue and expenses), tracking actuals and accurately forecasting through FCA Org management
  • Help coordinate travel plans with out-of-town guests.
EVENT PROMOTION
  • Support internal event promotion plans with a standard of excellence.
  • Work with the staff assigned to the event marketing, including creating and executing social media/email marketing plans and tracking day-to-day activities.
  • Draft, edit, and/or proofread the final copy for a variety of purposes (e.g., web pages, brochures and newsletters, announcements, letters, invitations, email marketing, etc.).
  • Coordinate the creation of all marketing materials and graphics for event.
  • Advise staff on how and when to market to their donors and circles of influence.
EVENT EXECUTION
  • Responsible for all items related to the creation and execution of the detailed schedule for national events.
  • Communicate the event schedule and distribute to all participating parties.
  • Manage all aspects of the event and address potential problems that may arise.
  • Coordinate the detailed execution with all vendors/event centers.
  • Responsible for guest speakers being prepped and understanding the event schedule and flow.
  • Lead set up/tear down teams.
  • Lead all assigned staff, vendors, and third-party contractors as they execute their specific tasks before, during, and after national events.
EVENT CLOSE OUT
  • Provide timely payments to all vendors.
  • Reconcile all financial projections against actuals and provide explanations for overages and savings.
  • Follow up with thank you cards to all sponsors and donors.
  • Follow up with thank you letters/gifts to speaker and special guests.
  • Organize post-event analysis process to continually improve national events.
