Position Summary:

This position supports the Director of the Bresnahan-Halstead Center. It requires the ability to work independently and efficiently, to communicate effectively in both written and oral form in:determining appropriate use of resources (personnel, financial,equipment); compiling information, projecting needs, and designing financial/personnel/other reports as needed; and authorizing expenditures according to University/College policies and mission.

Job Duties:

The Assistant to the Director monitors financialexpenditures and obligations of the Bresnahan-Halstead Center, including butnot limited to: determining account to be charged, preparing and processingappropriate paperwork for purchasing materials/supplies, travel, contractualservice agreements (consultants, evaluators, student scholarship/assistantship/tuitionship awards, etc.; follows through on timely and accuratepayment of the above, resolves problems as necessary; compiles and supportsDirector in preparation of budgetary reports (planning, expenditures); and depositsrevenue (checks, credit card, other).
The Assistant to the Director develops and maintainsrecord-keeping systems (filing, computer input, data base maintenance, loggingof information) that manage and generate reports for Bresnahan-Halstead Center.This position will assess the conditions of the employment and determine theappropriate method of contracting, based upon University guidelines(independent contractor, PSA, GA or TA) related to type of service, length ofservice, current/past employment, amount contracted.
The Assistant to the Director communicatesregularly with other University departments and offices that support theactivities and projects of the Center in project completion.This position will compile reports anddocumentation and will submit this work to the College/University whenrequired.The position will also contactoff-campus individuals to determine and negotiate arrangements for retreats andsponsored activities off campus (catering, meeting space, lodging, andtechnical needs); negotiate purchase and payment process with non-UNC vendors, andfollow up with payment resolution for contracted individuals and off-campusvendors.

Minimum Qualifications:

At least a bachelor's degree in business orsimilar, and at least 7 years of experience in working with external andinternal venues to set up conferences (generally 3/year for 60-100participants), including initiation and follow-up of contracts for venue(on-site conference rooms, technology requirements, food and beveragecontracting) and guest speakers (including transportation, lodging);registering participants (processing registration fees, securing lodging);managing registration table on-site; designing and procuring name tags,handouts, etc.; on-site trouble-shooting and problem-solving; andfollow-up/wrap-up of conferences.

Full-time employees are eligible to receive tuition waiver benefits, as well as dependents and spouses of UNC Employees who are employed at 0.5 FTE or above are eligible for undergraduate dependent tuition grants of up to 50%. These tuition grants will cover in-state tuition charges. Further requirements may exist. Other benefits may be available based on position.
