As a Medical Office Assistant, you'll be a crucial part of our mission to restore hope and empower change. The Medical Office Assistant employee is responsible for task-oriented administrative and medication assistant functions and serves as direct administrative support for the medication management provider, Aiereal Lloyd, NP. The employee is responsible for check-ins with all clients involved in Intensive Outpatient Program (IOP) facility services and medication management. This employee will also assist management with additional administrative duties, such as scheduling, collecting payments, answering client phone calls, and more as directed by management.
Work Environment:
This position works in an outpatient mental health facility. There will be frequent interaction with persons who are mentally ill, disabled, or emotionally upset. While performing the duties of this position, the employee will be provided a desk, chair, computer, and necessary medical equipment to fulfill functions. Position Type and Expected Hours of Work:
This is a full-time position where the employee may work no more than 40 hours per work week during normal business hours, 8am-5pm Monday through Friday.
Responsibilities

essential functions. This is a hybrid position that consists of both medical assisting and administrative duties.
Administrative:
•Speaks and listens while answering the phone and providing support for all callers.
•Scans documents and correctly files them in the EMR system.
•Photocopy and fax materials.
•Record all conversations through appropriate means in EMR system.
•Access deactivated paper charts when requested and maintain system for disposing medical
•records over 7 years old.
•Engage in scheduling and other administrative tasks related to medication management.
•Assist the Office Manager with additional administrative duties as directed. This may include collecting payments, monitoring client balances, faxing, copying, filing, etc.
Medical Assistant
•Conducts check in for all IOP clients including vital signs, weight, and review of check-In sheet.
•Participate in weekly IOP case staff meetings.
•Engage in consultation with all members of the team.
•Documents in the medical record according to requirements of regulatory agencies.
•Works to ensure that the medical and health care needs of clients are met in conjunction with the interdisciplinary team. This responsibility includes:
•Ensuring appropriate medical follow-up.
•Providing special instructions to patients and staff related to medical diagnosis, allergies, medication, diet and special emergency plans related to ongoing medical conditions.
•Coordinating and reviewing lab work.
•Coordinating care with clinics, outside physicians and hospitals.
•Performs direct patient care, using established procedures, policies and standards.
•Provides support to medication management provider and coordinates psychotropic medication
•requests for refills and samples.
•Collects urine for drug screens; performs blood draws, swabs, and injections if required.
•Documents as appropriate vitals, screening and patient history information as needed.
•Responsible for prior authorizations of psychotropic medications.
•Responsible for PMP reports from medication management patients- both Intakes and clients prescribed controlled medications, reports must be printed for all patients before their visit.
•Reviews staff trainings for seizure and blood borne pathogens and updates them as needed.
•Coordinates all logistic support to department including supplies and equipment.
•Attends monthly staff meetings.

Qualifications
•Minimum Associates Degree in medical field. Certificate of Medical Assistant required. Preference given to those with experience in mental health.
