Lycoming College is seeking a highly motivated, dynamic, and experienced individual to join our team. This position is a full-time position that requires organization, high attention to detail, and customer service skills to interact with a variety of different personalities to serve our employees, alums, and visitors.

What will I do in this role?
  • Support the advancement office in the successful execution of departmental programs, projects, alumni, donor and scholarship recognition events, and large campus weekend events
  • Serve as the first point of contact for guests in the advancement suite, greeting and welcoming visitors, while directing visitors to the appropriate person or office, ensuring positive and productive interactions.
  • Coordinate registration for large event weekends, serving as the point person for guests arriving on campus.
  • Assist with stewardship efforts for the department, implementing special projects in support of all areas of stewardship.
  • Answer and handle telephone calls and inquiries professionally and politely, answering questions as they relate to events within the division, and routing callers to appropriate offices as necessary.
  • Make appointments, take detailed messages and provide customer service for those who call when administrative staff is unavailable
  • Process P-Cards for those within the division
  • Assist with travel planning, preparation, contact report data input, and gift receipts mailing for front line officers
  • Work closely with the annual giving team to manage and execute mailings and solicitation efforts more generally
  • Organize, create, and produce mail merges and bulk mailings
  • Assist with editing, revising and formatting solicitation letters and marketing pieces
  • Order supplies and maintain the printer/copier/scanner
  • Schedule departmental or individual team meetings and assist with managing calendars for the assistant vice president for alumni engagement and the assistant vice president for major and planned gifts

Marginal functions:
  • Attend staff meetings and participate in some internal and external events utilizing good human relations skills in representing the office and College to all constituencies
  • Perform other duties as assigned
  • Day and evening work required for Commencement, Alumni & Reunion Weekend and Homecoming Weekend, and on an as needed basis
  • Provide support to other staff in the Advancement division, especially for special event and large projects
What are we looking for?
Educational Requirements: Associate degree or bachelor's preferred

Experience and Qualifications:
  • Minimum 2 years of experience in an office strongly preferred
  • Computer skills essential (knowledge of Microsoft Word and Excel; experience using email and internet)
  • Ability to read, interpret and carry out verbal and written instructions
  • Ability to work both independently and as a member of a team
  • Ability to respond to constituent inquiries with accurate and timely information
  • Ability to track budgets and make travel arrangements
  • Experience with grammatical editing, formatting, mail merges and managing bulk mailings
  • Demonstrates professionalism and contributes to fostering a positive work/learning environment
  • Demonstrates effective organizational and time management skills
  • Demonstrates effective interpersonal skills (listening, verbal/non-verbal and written communication skills)
  • Demonstrates effective conflict resolution and problem-solving skills

  • Completes paperwork accurately; verifies and correctly enters data
  • Ability and willingness to work frequent evening and weekend hours
