Accounting Specialist Job Responsibilities:
Review invoices and check requests including ensuring appropriate documentation prior to payment.
Sort and match invoices and check requests
Set invoices up for payment through internal systems.
Process check requests by coding and inputting check information.
Prepare and process accounts payable checks, wire transfers and ACH payments.
Work with vendors on reconciliation of credit card and bank payments; find processing errors and take corrective action. Verify entries and compare system reports to balances.
Maintain accurate historical records of payments and actions around payments.
Prepare analysis of accounts
Monitor accounts to ensure payments are up to date.
Resolve invoice discrepancies.
Completes vendor file maintenance including updating address, names, terms and add new vendors according to policy and procedures.
Correspond with vendors and respond to inquiries.
Produce monthly reports.
Assist in month end closing duties.
Invoice coding
Prepare and make bank deposits.
Assist with preparation for annual audits.
Ensure compliance with internal accounting procedures.
Maintain accurate records, including ledgers, journals, receipts, and invoices.
Perform administrative and other tasks as needed.
Accounting Specialist Qualifications/Skills:
Understanding of GAAP accounting principles
Familiarity with QuickBooks or other accounting software
Microsoft Excel, and Microsoft Outlook
Strong written and verbal communication skills
Excellent attention to detail and accuracy in entering financial data
Outstanding math and research skills
Proficiency with 10-key typing and data entry
Deadline-driven with excellent time management ability
Education and Experience Requirements:
3+ years of general accounting experience
Associate or Bachelor’s degree in accounting or related field preferred
Experience with ERP software
