Job Summary:

The Purchasing Coordinator is primarily responsible, as directed by Purchasing Manager, for assisting in daily purchasing administration and activities.

Primary Duties & Responsibilities:
  • Convert approved Purchase Requisitions to Purchase Orders
  • Verify all information on Purchase Orders (delivery date, GL account number, vendor, shipping method, location, notes, etc.)
  • Place orders for the Complex and obtain pricing verification
  • Place and verify orders for Materials Manager
  • Expedite emergency orders
  • Answer inquiries regarding orders placed
  • Check on open orders for all locations (orders that we have not received in a timely manner)
  • Work with accounting to resolve invoicing errors
  • Key daily receivers for items that have come in
  • Receive monthly blanket PO's
  • Match receivers to Purchase Order in order to maintain correct information for audits
  • Maintain/update plant inventory spreadsheets with current pricing and item numbers and send out weekly reports
  • Place weekly order for all plant supplies after gathering inventory numbers
  • Order office supplies
  • Maintain the daily/weekly budget spreadsheet and send out weekly reports
  • Fill in for the job duties of Complex Buyer in his/her absence
  • Perform any additional tasks assigned by Complex Buyer and/or Complex Purchasing Manager
Job Requirements:
  • High School Diploma (education beyond High School is preferred)
  • Excellent writing and verbal communication skills (heavy contact through phone and email is a large portion of this job)
  • Extensive knowledge of computer skills including: Ability to type, ability to learn new computer operating systems, and ability to adequately operate Microsoft Office Applications (Word, Excel, PowerPoint and Outlook)
  • Must be a good multi-tasker
  • 3+ years of experience working in an office environment (preferably dealing in the purchasing/materials field)
Physical/Environmental Factors:

Routine contact with:
  • Complex Purchasing Manager and other management throughout the plant
  • Accounts payable to resolve invoicing and receipt issues
  • Outside location clerks to clarify any question on orders and receipt of their orders
  • Vendors and sales representatives to place orders and confirm delivery method, pricing and receipt of products
  • Assist all departments with inventory usage

Complex Buyer will work with you as a team to complete all daily/weekly tasks that keep the purchasing department running smoothly
